Executive Assistant (Investment Firm Experience Required)

To support our early-stage firm’s significant growth, we are hiring an enthusiastic and organized Executive Assistant to join our team and play a vital role in supporting our daily operations.


Here is what you will do:


Executive Support: Be the right hand to assigned executives, managing calendars, scheduling appointments, and ensuring smooth communication. Draft and proofread professional correspondence, presentations, and emails. Anticipate executives' needs and proactively address them. Manage domestic and international travel arrangements, including flights, hotels, and transportation. Prepare and process expense reports.


Operations Rockstar: Assist the team with various administrative tasks like managing databases, preparing reports, and coordinating offsite meetings/team-building events. Support HR with recruiting, onboarding new hires and administrative tasks.


Investor Relations & Fund Operations: Help maintain accurate fund administration records, liaise with fund administrators for portfolio reporting and compliance matters, and assist with investor relations by preparing and distributing communications, and coordinating AGMs.


Team Player & Problem Solver: Oversee company swag and apparel (ordering, inventory, distribution). Contribute to ad-hoc operational projects as the firm grows, including hosting industry meetups and supporting marketing initiatives.


You’re likely a great fit if you have:

  • A minimum of three (3) years of experience in an administrative or operations role, with experience supporting executives in investment management / high finance.
  • Excellent project management, organizational, process management, and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to perform and prioritize multiple tasks simultaneously with extreme attention to detail
  • Willingness to work outside of normal 9 - 5 hours.
  • Proven experience in calendar and travel management.
  • Ability to work independently and take initiative.
  • Professional demeanor and discretion in handling confidential information.
  • Familiarity with the private equity / B2B software industry.
  • Public Notary Certified (or, be willing to obtain via company sponsorship).
