POSITION SUMMARY: The Executive Assistant – Marketing provides comprehensive administrative support to the Chief Growth Officer of Thorne, Inc.

FLSA STATUS: The U.S. Fair Labor Standards Act (FLSA) requires employers to classify their employees as being either exempt or non-exempt for the purpose of being paid overtime wages. The essential duties of this job are such that the employee is classified according to the FLSA as an EXEMPT employee.

TRAVEL REQUIREMENTS: Moderate-<15%

As an Executive Assistant, the successful candidate will be organized, detail oriented, self-motivated, adaptable, ambitious, and driven, able to handle confidential information, and is comfortable navigating in a hybrid and fast-paced environment, with a demonstrated ability to respond to changing workloads and priorities. Must be able to communicate clearly and to handle multiple assignments and people simultaneously.

RESPONSIBILITIES – Satisfactorily performing and/or achieving the following responsibilities are essential duties of the job.

  • Performs highly diverse administrative duties, which by nature of the position involves high level contacts necessitating the considerable use of tact, diplomacy, discretion and judgment.
  • Maintains high velocity executive calendar with tact and discretion, frequently scheduling meetings, responding to conflicts, and intuitively understanding where travel time or gaps are needed to maintain executive focus.
  • Prepares and handles confidential personnel information with trust & discretion, interfaces appropriately with internal and external clients, and senior executives.
  • Arranges frequent (2-3x a month) travel, processes travel and expense reports, coordinates breakfasts, dinners and lunches in multiple cities; assists with event planning and coordination for team meetings, all-hands meetings, summits, etc., at least 2 of which will involve multi-day in person meetings
  • Creates meeting agendas, coordinates staff meetings, internal and external events as needed; supporting team cadences / meetings (e. g., notes / prompts for agenda items; proactively updating recurring events).
  • Prepares presentations and correspondence, and drafts emails, announcements, and other communications.
  • Serves as (onsite or offsite) Office Manager for the New York office facility - maintains office supplies and manages office administrative matters and service vendors.
  • Performs special projects at the direction of CGO, including those which may require the use of Microsoft PowerPoint, Excel or Word.
  • Monitors T&E and SG&A departmental spending. Manages freelance and consultant vendor set up, and processes invoices as needed.
  • Helps to drive culture and engagement in the Growth organization and the company where needed.
  • Seeks formal and informal performance assessments, including performance versus expectations and goals, behaviors, and leadership potential.
  • Actively participates in required training and development programs and electives as suits one’s needs, and support colleagues, trainers, and management as appropriate with these efforts.

What You Need

  • Experience and/or Education : High School diploma or equivalent is required; some college a plus. 10+ years’ experience, 4+ years of which are in support of C-Suite personnel. Self-starter with a high degree of initiative and the capability to produce excellent work with minimal supervision. Strong interpersonal and organizational skills and close attention to detail and accuracy.
  • Language Ability : Strong written and verbal skills. Employee is able to read and understand at a highly technical and proficient level. The employee follows instructions, both verbal and written, and communicates effectively with supervisors and fellow employees.
  • Computer and Technical Skills : Sound working knowledge of Microsoft Office Suite (Excel, PowerPoint, Word), Calendar, and Macintosh applications. Employee can use the equipment and software required to accomplish the responsibilities of the position.
