We are seeking a highly organized and proactive Executive Assistant to support the CEO/Owner of a prestigious luxury real estate portfolio based in Newark, New Jersey. The ideal candidate will have prior experience in the real estate industry and a proven track record of providing top-tier administrative support to Executive. This role demands exceptional attention to detail, strong organizational skills, and the ability to handle sensitive and confidential information with discretion.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative assistance to the property owner, including managing calendars, scheduling appointments, and coordinating meetings.
  • Communication Management: Serve as the primary point of contact for internal and external communications. Draft and prepare correspondence, reports, and presentations as required.
  • Real Estate Coordination: Assist with property management tasks, including coordinating with leasing agents, contractors, and vendors. Oversee property maintenance schedules and ensure timely follow-ups.
  • Travel Arrangements: Organize and manage travel itineraries, including flights, accommodations, and transportation for both business and personal trips.
  • Event Planning: Plan and coordinate events, meetings, and functions related to the luxury real estate properties. This includes managing logistics and liaising with vendors and guests.
  • Financial Administration: Oversee and manage expenses related to property operations. Prepare and submit expense reports and invoices.
  • Project Management: Assist with special projects and initiatives related to the real estate portfolio. Ensure timely execution and follow-up on project tasks.
  • Confidentiality: Handle confidential information with the utmost discretion and professionalism.

Requirements

  • Experience: Minimum of 3-5 years of experience as an Executive Assistant, preferably in the real estate industry. Familiarity with luxury real estate operations is highly desirable.
  • Skills: Strong organizational and multitasking skills with a keen eye for detail. Excellent written and verbal communication abilities.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Experience with real estate management software is a plus.
  • Education: Bachelor’s degree in business administration, Real Estate, or a related field preferred.
  • Personal Attributes: Professional demeanor, proactive attitude, and the ability to work independently. Must be adaptable and able to handle high-pressure situations with ease.
