Executive Assistant to CEO & Executive Team

About The Role

We are looking for an Executive Assistant to provide administrative support to our executive team. This role primarily assists the President/CEO and will also support the CFO and VP of Operations. Flexibility is essential, as there may be occasions requiring work outside of typical business hours (8:00 am - 4:30 pm).

Responsibilities

  • Act as the primary contact for the CEO, CFO, and VP of Operations.
  • Manage executives' calendars and coordinate internal and external meetings.
  • Handle financial administration tasks including expense reports, receipts, and invoices.
  • Arrange travel and accommodations for executives and guests.
  • Format and prepare information for internal and external communications (e.g., memos, emails, presentations, reports).
  • Collect and organize monthly reports, combine documents, and format them for the CEO.
  • Take minutes during internal meetings, summarizing key points and capturing action items.
  • Screen and direct phone calls, and distribute correspondence.
  • Anticipate the work-related needs of executives by understanding their work styles and responsibilities.
  • Plan and organize company events, including internal and external meetings, team events, company milestones, and off-site retreats.
  • Coordinate quarterly all-associates meetings, leadership team meetings, and board meetings.
  • Organize off-site board meetings, executive meetings, conferences, and customer events.

Skills & Requirements

  • High school diploma required; Bachelor's Degree preferred, or equivalent experience.
  • Proven experience supporting multiple executive-level managers.
  • 4+ years of experience as an Executive Assistant or in a similar role.
  • Proficiency in MS Office, including PowerPoint, Excel, and Word.
  • Outstanding organizational and time management skills.
  • Excellent verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Exceptional attention to detail.
  • Strong organizational skills.
  • Excellent writing skills.
