Job Summary

As the executive assistant to the CEO, you will provide high-level administrative support to the CEO, managing an array of responsibilities that include coordinating meetings, handling confidential information, and ensuring smooth day-to-day operations. You will act as a key liaison between the CEO and internal/external stakeholders, embodying the values of freedom, humility, simplicity, and grit that are the foundation of our company culture. Recommended Education And Experience

  • The ability to think, speak, and write well is a must.
  • Professional experience as an executive assistant is a strong plus.

Responsibilities

  • Strategic Calendar Management: Meticulously manage the CEO’s calendar, including scheduling, prioritizing, and organizing meetings, calls, and events.
  • High-Level Communication: Act as a point of contact between the CEO and internal/external stakeholders, including board members, investors, and senior management.
  • Confidential Documentation: Prepare and review documents, presentations, and reports for the CEO, ensuring accuracy and confidentiality.
  • Travel Coordination: Organize complex international and domestic travel arrangements, including detailed itineraries, accommodations, and logistical support.
  • Executive Correspondence: Draft and manage correspondence on behalf of the CEO, maintaining a professional tone and ensuring timely responses.
  • Expense Management: Oversee and reconcile the CEO’s expenses, manage budgets, and ensure timely processing of financial documents.
  • Project Leadership: Support the CEO in special projects, conducting research, and providing analytical insights as required.
  • Crisis Management: Proactively identify and mitigate potential issues, ensuring the CEO is well-prepared to address any challenges.
  • General Administration: Lead special project administration and have an ability to engage in technical, industry-specific conversations.
  • Event Planning: Coordinate high-profile events, meetings, and company-wide initiatives that involve the CEO.

Qualifications

  • Exceptional organizational and time-management skills.
  • Advanced proficiency in Google Workspace (Docs, Sheetsl, Slide) and other relevant software.
  • Strong written and verbal communication skills, with the ability to interact confidently with senior leaders.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion, integrity, and professionalism.
  • Proactive problem-solving skills with the ability to anticipate the executive needs.
  • A reliable internet connection and ability to work regular business hours - along with strange hours when necessary.
