Winston Pies is a beloved local bakery known for its bespoke dessert pies. Over the past 7 years we have become the pie shop to the stars and LA’s most sought after Thanksgiving pie! We pride ourselves on quality, freshness, and exceptional customer service. As we continue to grow, we’re seeking a dedicated and detail-oriented Executive Coordinator to join our team and ensure smooth operations in our bakery’s busy afternoon and evening hours.


Job Summary:

The Executive Coordinator will play a crucial role in managing the bakery’s inventory, tracking products, organizing orders, and coordinating daily product deliveries to multiple locations. This position requires a proactive individual who can handle multiple tasks efficiently and support the bakery’s operational needs.


Key Responsibilities:


Order Tracking and Management:

  • Oversee and organize incoming orders from various locations.
  • Ensure orders are processed accurately and on time.
  • Coordinate with the production team to prioritize and prepare orders based on demand.


Product Organization and Delivery Coordination:

  • Plan and organize daily product deliveries to multiple bakery locations.
  • Prepare and rack pies for delivery, ensuring they meet quality standards.
  • Review closing inventories of the pie shops to see what additional products and items need to be delivered the next day to meet pars.
  • Thanksgiving and Big Order Day pie organization of pies, boxes, and ensure drivers take items to correct shops


Inventory Management:

  • Monitor and manage inventory levels of ingredients, packaging, and bakery supplies.
  • Conduct regular inventory checks and maintain accurate records.


Administrative Support:

  • Support the management team with special projects and tasks as needed especially during peak pie season and Thanksgiving


Qualifications:

  • High school diploma or equivalent; college degree in business, management, or a related field preferred.
  • Previous experience in a similar role within a bakery or food service environment is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in inventory management software and basic office applications (e.g., Microsoft Office, Google Workspace).
  • Ability to work independently and make decisions in a fast-paced environment.
  • Flexible schedule with the ability to work Tuesday through Saturday, from 3:00 PM to 9:30 PM or 10:00 PM.


Physical Requirements:

  • Ability to lift and carry up to 30 pounds.
  • Ability to stand for extended periods and perform tasks that require bending and reaching.
