What does this role do at AHIMA?

The Executive Office Manager is responsible for providing executive level support to the CEO and increasing efficiency of administrative practices at AHIMA. This position coordinates leadership and Enterprise meetings, the Monthly Operational Review process and the Executive Dept budget. A significant responsibility of this role is project management.

What are the essential duties and responsibilities?

  • Provide executive level support to the CEO through calendar management, correspondence preparation, briefings, compiling meeting materials, presentations and managing sensitive information in confidence and with discretion, communicating at the appropriate level across the organization.
  • Project management in support of the office of the CEO.
  • Manages special projects with the direction of other executive team members as deemed
  • Communicates relevant issues in an organized, concise, and efficient manner to ensure the CEO is well-informed and prepared to make necessary decisions.
  • Convene Enterprise Administrative Team through meetings and special projects collaborating with others to provide excellent administrative support across the enterprise.
  • Support strategic goals and ensure alignment by cultivating relationships with staff across the enterprise for increased efficiency and effective responsiveness into existing operations.
  • Manage all staff, executive, and leadership team meetings through scheduling, agenda preparation, presenter coordination and follow up.
  • Provide coordination to the international team through website updates, newsletter coordination, managing the international regional advisory councils, and other project support.

What are the knowledge and skills requirements?

  • Minimum of a bachelor's degree
  • 5 years' related experience in roles within the Executive Office, preferably in an association environment.
  • Project Management Experience
    • Technical skills such as Microsoft Office Suite including Microsoft Project
    • Extensive knowledge of PMI or PMBOK project management framework
    • Experience in managing projects globally.
  • Ability to troubleshoot and resolve issues.
  • Strong oral and written communication skills; ability to communicate complex technical concepts in layman's terms.
  • Customer service skills, responsive attitude, highly adaptable and flexible.
