Facilities Coordinator

SPECTRAFORCE Addison, TX

Job Title: Facilities Coordinator

Duration: 12 months

Location: 4days a week Addison, TX, 1 day a week Dallas Zix office

Responsibilities

  • Acting as one of the first point of contacts for staff and guests, (inclusive of property management, vendors and building security)
  • Oversee Facility operations ensuring we continue to meet exemplary customer/employee service in our Addison and Dallas offices (amenities, meeting events etc).
  • Oversee, plan, and coordinate new hire seating assignments and internal staff moves.
  • Manage and maintain the floor plan software (Centerstone).
  • Oversee Facilities emails and ensure customer service.
  • Inspect our space daily to identify general corrective maintenance, report deficiencies and recommend areas for improvement to management.
  • Partner with the Landlord and input maintenance tickets when required.
  • Oversee vendors and follow through to sign off of work.
  • Oversee the building maintenance Janitorial program, confirming work is completed as per lease.
  • Oversee and maintain the First Aid & Fire Warden program.
  • Partner with the Global Workplace Security team
  • Ensure safety standards are implemented and followed throughout the office.
  • Provide support on purchasing and supply ordering.
  • Develops standardized processes and updates procedure documentation pertinent to the responsibilities of the position as required.
  • Oversee operations at the secondary site in Dallas.
  • Attends all training on new systems and procedures.
  • Participates in the Health & Safety committee, and monthly inspections.
  • Assists with special projects and other duties as assigned by Management.
  • Prepares reports, updates records and documents.
  • Performs departmental administration activities as required.
  • Proactively initiates process improvement initiatives.
  • Oversee & coordinate special events and large meetings in the office.
  • Active participant in Fire drills.
  • Provide Reception coverage as needed.
