Financial Aid - Assistant Director

General Statement of Duties

The Assistant Director of Financial Aid will supervise the financial aid office in the absence of the Director. They will provide information and direction to prospective and current students, parents, and alumni on resources of financial aid, application procedures, aid eligibility, and assists the Director of Financial Aid and other Financial Aid counselors and in collateral duties as assigned.

Distinguishing Features of the Position

The Assistant Director reports to the Director of Financial Aid. This position requires knowledge of technical federal, state, and campus-based financial aid regulations, close attention to detail, especially regarding financial data, thorough knowledge of computer information systems used in the financial aid process, and ability to maintain confidentiality of all related student record information.

Examples of Duties

  • Counseling of prospective and currently enrolled students and families, as well as direct handling of major correspondence that requires response.
  • Ability to counsel students as to satisfactory academic progress for Title IV, state aid and scholarship requirements.
  • Participate in training sessions and professional activities.
  • Review and processing of the Free Application for Federal Student Aid (FAFSA), Verification and Professional Judgement cases, and documentation of all activity in students’ files.
  • Collection of required documentation, including aid application, award letters, promissory notes, documentation of independence, and federal tax returns.
  • Manages the HEOP program and its students. Counsels prospective and continuing students, including FAFSA and TAP applications, and follow up documentation. Manually packages all HEOP students and works with them throughout their academic tenure to reduce their overall indebtedness. Works with the Director of HEOP in order to maintain consistent policy and procedures.
  • Counsels’ prospective students, presents Financial Aid information at their orientation programs, processes their Aid, and performs the necessary follow-up.
  • Determines disbursement dates for Advance and MBA students.
  • NYS Tuition Assistance Program (TAP) certifying officer, including certification of awards, roster maintenance, reductions, and de-certification (shared duty with Office Manager).
  • Reviews and processes applications for the NYS Aid for Part-Time Study program (APTS), including certification of awards and follow up reporting with NYS Higher Education Services Corporation (HESC).
  • Oversees the Endowed and Restricted scholarship program, including fund allocation and reconciliation. Leads the selection committee, working to process applications and determine student awards
  • Provides periodic training to the admissions staff on the basic elements of the Financial Aid process in order to better serve prospective students.
  • Serves as the point of contact for the Office of Veterans Affairs.
  • Backup to the System Applications Analyst for all electronic processing and transmissions, including but not limited to transmissions to other offices on campus, U.S. Department of Education, NYS Higher Education Services Corporation (HESC). Performs these functions on at least a monthly basis to maintain competency of skills.
  • Active participation in recruitment efforts, high school programs, and other community outreach endeavors.
  • Other tasks assigned by Director of Financial Aid.

  • Ability to work with a culturally diverse population.

  • Bachelor's degree (Master's degree preferred).
  • Minimum three years' experience in higher education (financial aid at least two years) preferred.

Pay: $60,000- $65,000
