What You'll Do
The primary role of the Flight Training Coordinator is to manage the administrative and logistical aspects of Epic Aircraft's Flight Training department. This position also supports the aircraft delivery process by providing backup support as needed. This role works directly with the Flight Training department and will cross-collaborate with the Aircraft Delivery department. This position is well suited for someone who is passionate about process, customer service, and general aviation and thrives in a dynamic environment. The role is instrumental in fostering an informative and welcoming atmosphere, ensuring all logistical and administrative needs are met with the highest standards.
Duties Include
Primary point of contact for training. Secondary point of contact for delivery inquiries via email and telephone
Maintain proactive and ongoing communication with customers to provide up-to-date information on training events and to coordinate the completion of aircraft delivery documents
Address customer needs during visits, ensuring a comfortable, fun, and professional experience
Coordinate the scheduling of training events in alignment with aircraft availability, delivery, and maintenance schedules
Manage the training calendar and instructor schedules, including contracting and scheduling of external instructors
Oversee the entry and maintenance of training data within Epic’s CRM software and learning management system
Ensure training events are supported by appropriate insurance documentation
Facilitate regular updates with instructors to monitor and report on training progression
Maintain and update a database of instructor and trainee qualifications and training records
Preparation and distribution of training materials
Assist with the filing and organization of customer paperwork and aircraft documents, including subscription and warranty registration, as well as FAA documentation for new aircraft
Assist with weekly updates to customers on the progress of their aircraft
Develop, distribute, and manage customer satisfaction surveys and feedback programs
Engage with customers through various communication channels, including phone, email, text, and chat, to address inquiries and coordinate with internal departments and external vendors
Occasionally provide coverage for the front desk and lobby area
Coordinate catering and accommodations for training sessions
Manage inventory and stocking of snacks and supplies for the training and delivery center
Handle the preparation and distribution of training materials, including printing and shipping to participants
Assist with the preparation and assembly of comprehensive “fly-away” kits for each new aircraft delivery
Assist with the logistics and coordination of aircraft delivery on delivery day
Continuously assess and improve the training administration processes, leveraging IT tools
Customizing and enhancing functionalities and process automation
Integrating CRM software with learning management systems, and document storage and tracking software
What You Bring To The Team
2+ years of experience working in a similar training / administrative role
Aviation background or experience is preferred
Extensive customer service experience is preferred
High School Diploma or equivalent
Basic computer skills, typing, email, Microsoft and Google suites
Proficiency in CRM systems, preferably HubSpot, and familiarity with learning management systems
Proficient with Microsoft Office suite, Google Workspace, and PDF software
Professional appearance and excellent customer service skills
Good problem-solving skills and ability to work well within a team
Passionate about general aviation and excited to experience Epic Aircraft products
Ability to manage multiple tasks and prioritize effectively
Authorized to legally work in the U.S. for any company without sponsorship now or in the future
