Position Summary:

Charter Oak’s Front Desk Administrator is a pivotal member of the College’s welcome team, serving as the first point of contact for students, employees and the public entering the College’s headquarters at the New Britain Center for Higher Education in Downtown New Britain. This role demands exceptional customer service skills and involves a range of reception and clerical duties. The front desk administrator maintains a friendly and patient attitude when working with the public, handles confidential information with discretion, while demonstrating strong time management, prioritization, and organizational skills.

The individual in this position will be responsible for greeting and directing building visitors, managing communication channels for select departments and providing valuable administrative support to the campus team. As the New Britain Center for Higher Education serves as the headquarters for both Charter Oak State College and Connecticut State Community College, the individual in this position will serve as a positive public facing steward for both entities for individuals entering the building. This position additionally provides support to the Financial Aid and Academic Service Departments while not tending to front desk interactions.

Example of Job Duties:

Under the direction of the Controller, the Front Desk Administratoris responsible for the effective performance in these essential duties:

  • Greet and assist visitors, connecting them with the appropriate college personnel
  • Utilize technology systems to help log visitors and distribute incoming mail
  • Assist the Academic Services and Controller’s Offices with administrative support including systematic data entry and validation
  • Organize and create communication and procedural materials to assist efficiency of department progress and growth
  • Assist the College with special administrative projects and materials as needed
  • May perform other duties and responsibilities related to those enumerated above which do not alter the basic level of responsibilities of the position
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds

In addition to the accountabilities listed above, the incumbent is required to carry out the essential duties of: Attendance and participation at convocation and commencement ceremonies; Service on assigned committees and task forces; Attendance and participation at committee, staff, informational and professional meetings. These may involve attendance at evening or weekend events.

Minimum Qualifications:

Associate degreewith two (2) or more years of administrative experience.

Incumbents are required to have demonstrated advanced knowledge and abilities in the following:

  • Prior experience with having to demonstrate customer service abilities
  • Proficient in Microsoft Office Suite and basic understanding of data entry and databases
  • Strong time management, prioritization, and organizational skills
  • Strong multitasking abilities, and a keen attention to detail
  • Proactive in problem-solving, capable of tracking projects, reporting progress, meeting deadlines, and able to learn new technology/software to support the team

Candidates must possess proven ability to effectively work with culturally, linguistically, and ethnically diverse faculty, staff, and students. They are expected to have excellent oral and written communication skillsalong with strongInformation technology literacy skills such as Microsoft Office (Word, Excel, Outlook, Teams etc.).

  • Experience in Higher Education with knowledge of relevant policies and regulations

Starting Salary:

Minimum Salary; $47,443 approximate annualplus excellent State of CT medical insurance, retirement, and related fringe benefits.The salary will be based on the selected candidate’s qualifications such as education and job-related experience, and internal equity.
