Full-Time Virtual Assistant with Project Management and Marketing Support

We are seeking a proactive and detail-oriented professional to join our team as a Virtual Assistant on a full-time, remote basis. In this role, you will provide essential administrative support to ensure our daily operations run smoothly and efficiently. Key Responsibilities

  • Administrative Support:
    • Manage and organize schedules, calendars, and appointments for team members.
    • Coordinate meetings, prepare agendas, and take meeting minutes as needed.
    • Handle correspondence, including emails, phone calls, and other communications.
    • Maintain and update digital filing systems and databases.
  • Project Management:
    • Assist in planning, executing, and tracking various projects.
    • Collaborate with team members, clients, and external partners to ensure tasks are completed on time.
    • Monitor project timelines and report progress to meet deadlines.
  • Client and Vendor Relations:
    • Act as a point of contact for clients, vendors, and other stakeholders.
    • Schedule and coordinate meetings with clients and vendors.
    • Assist with preparing and distributing contracts, proposals, and invoices.
  • Research and Data Management:
    • Conduct research to support business initiatives.
    • Compile and organize data for reports, presentations, and other business documents.
    • Analyze information and present findings clearly and concisely.
  • Social Media and Marketing Support:
    • Manage social media accounts, including content scheduling and engagement.
    • Support marketing efforts by creating and distributing promotional materials.
    • Monitor and report on social media metrics and campaign performance.
  • Financial and Budgeting Assistance:
    • Assist with tracking expenses, managing budgets, and financial reporting.
    • Prepare and process expense reports, invoices, and purchase orders.
  • Miscellaneous Tasks:
    • Handle travel arrangements, including booking flights, accommodations, and transportation.
    • Assist with personal tasks for team members as needed.
    • Perform other administrative duties to support smooth business operations.
Qualifications

  • Education: High school diploma or equivalent; additional qualifications in business administration or a related field are a plus.
  • Experience: Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Skills:
    • Strong organizational and time-management abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
    • Familiarity with project management tools and CRM software is advantageous.
    • Ability to work independently and remotely with minimal supervision.
    • High attention to detail and accuracy.
    • Adaptability and the ability to handle multiple tasks simultaneously.
