Our partner is seeking a highly motivated self-starter Management Assistant/ Intake Specialist to join a mergers and acquisitions law firm based in New York City. This person will gain experience with the Finance, Corporate, and Litigation practices, and a client roster of top global financial institutions, law firms, and corporations. The successful candidate will be responsible for providing administrative support to the senior management team and acting as the first point of contact for all new client intake inquiries.


Key Responsibilities:

  • Specialize in the client onboarding process to improve efficiency and ensure business integrity.
  • Lead the Know Your Client (KYC) process to identify and manage potential risks.
  • Collaborate with the Compliance team to collect SEC or related documentation.
  • Oversee conflict check procedure.
  • Facilitate engagement letter generation and review between lawyers and clients.
  • Review Outside Counsel Agreements and Terms.
  • Provide administrative support to the senior management team, including calendar management, travel arrangements, and expense reporting.
  • Act as the first point of contact for all new client intake inquiries, assessing the scope of the inquiry and forwarding it to the appropriate team member for follow-up.
  • Manage the firm's intake database, ensuring all new inquiries are logged and tracked.
  • Assist with client onboarding and document management, including preparing engagement letters, conflict checks, and opening new client files.
  • Conduct legal research and analysis as directed by senior management.


Qualifications:

  • Bachelor's degree in a related field.
  • 2+ years of experience in a similar role, preferably within a law firm or professional services environment.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office suite, particularly Word, Excel, and PowerPoint.
  • Knowledge of legal terminology and procedures is preferred.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
