Job Description:
Summary
Manages and coordinates schedules, day-to-day operations, outreach, student onboarding processes, and support initiatives within a full-service campus Counseling department at the assigned Campus.
Essential Functions
- Coordinates and monitors Counseling services at the assigned campus
- Determines appropriate staffing ratios to ensure the department is appropriately staffed to facilitate high-quality student service during all hours of operation and during peak service periods
- Adjusts Counselor work schedules based on day-to-day needs and events, while also adhering to full-time Counselors’ contractual obligations
- Promotes available services to students to ensure student awareness and usage
- Monitors students’ progression through the new student onboarding process, conducting outreach as necessary to connect incoming students to initial Counseling appointments and other support services
- Remains current on College, community and professional matters related to student success, student services, academic advising, and counseling
- Works with faculty and staff to promptly address customer service concerns and service requests within the counseling and student services areas
- Develops, recommends, and implements procedures and processes that facilitate efficient office operation
- Maintains relationships with other College departments including campus student success teams
- Works with the Academic Dean to plan and staff General (GEN) Studies courses and attends meetings regarding GEN classes
- Participates in meetings, workshops, and conferences as directed
- Takes the lead on special projects as assigned by the Dean and/or Assistant Dean
- Aligns resources or directly fulfills outreach requests to meet Campus enrollment, persistence, and student success goals
- Uses data and research to inform planning and practice while enhancing student services and processes
- Works with the Dean and/or Assistant Dean to create the counseling department budget, monitor, and organize departmental purchases and to coordinate use of resources with other student service providers throughout the college and community
- Develops and writes proposals and reports
- Ensures program compliance with College policies and procedures and U.S. Department of Education regulations
- Processes, assigns, and directs work, evaluates performance, facilitates professional development for counselors and staff, initiates disciplinary action and conducts grievance meetings in accordance with College procedures as necessary
- Performs other duties as assigned
EDUCATION AND EXPERIENCE/TRAINING
- Bachelor’s degree in a related field
- Significant related experience may substitute for education
- Minimum of three years of demonstrated experience in academic counseling, academic advising, or student services administration in a higher education environment
- Demonstrated experience supervising, planning, assigning, scheduling, and ensuring the quality of the work of others
- Demonstrated experience planning, preparing, and monitoring a business area’s budget
- Demonstrated experience effectively making decisions that have major implications on the management and operations within a department
- Demonstrated experience in a role requiring diverse problem solving methods in a variety of situations
- Possess working knowledge of current and emerging student development/intervention concepts, practices, and procedures with the ability to use in varied situations as it pertains to the departmental focus
- Ability to effectively complete work assignments independently
- Possess excellent organizational and prioritization skills with demonstrated attention to detail
- Ability to be creative and exercise initiative
- Possess excellent written, verbal and interpersonal communication skills
- Possess strong organizational and time-management skills
- Ability to work accurately with great attention to detail

- Demonstrated Intermediate-level proficiency with Microsoft Outlook, Word, Excel, and PowerPoint

EDUCATION AND EXPERIENCE/TRAINING
- Master’s degree in Counseling, Guidance, Higher Education Administration, Student Personnel or related field
- Demonstrated counseling, academic advising, student support services, or related experience in a College environment
- Demonstrated experience/familiarity with College-specific software such as Banner, SARS, etc.

- The work is performed in a normal, professional office environment;
- The work area is adequately lighted, heated and ventilated;
- The employee may sit comfortably to perform the duties of the job and may perform repetitive motions with hands/fingers using a computer mouse and keyboard to type. However, there will be walking; standing; bending; stooping; and carrying of various items and equipment;
- Work may also require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksite
