Marketing Project Manager
The Project Management Marketing Consultant reports to the Director of Client Services and supports the day-to-day execution of projects. This mid-level, client-facing role involves working directly with clients – usually onsite - and acts as the extension of the client’s team.
In this role, you are responsible for initiating and transforming ideas into action. You will work both collaboratively in a team and independently, with minimal guidance. The role requires a practical understanding of marketing principles and staying updated on current marketing trends for the client's benefit. You will manage high-volume, mid-level complexity projects. It demands discipline to deliver, a drive for high-quality results, and the flexibility to adapt to unexpected, last-minute changes. Dependability, proactiveness, and approachability are crucial qualities for this role.
TASKS AND RESPONSIBILITIES:
40% Marketing Project Management
- Act as the primary onsite liaison for the client, maintaining clear and consistent communication.
- Support the Senior Account Director in handling diverse range of marketing projects and campaigns from inception through launch.
- Take ownership of projects. Develop project management plans spanning product marketing, website development, client services, etc.
- Ensure all team members are informed of project status, timelines, and assignments.
- Manage day-to-day project management workflow system - input data, tracking, reporting (e.g. timeline, scope, budget, resources, dependencies, projections).
- Route all project deliverables through internal and client reviews. Maintain version control, quality control, and final approvals.
- Ensure all documents are organized, filed, recorded and archived according to company policies.
- Employ visual brainstorming tools (e.g., mind mapping, decisions trees) to facilitate ideation or workflow bottlenecks.
- Create well-designed, organized presentation decks using PowerPoint, Canva, Keynote, or Adobe Illustrator.
- Collaborate with cross-functional teams - creative, digital, technology, customer service – to advance marketing campaigns.
- Assist with onsite and virtual meeting management, including scheduling, agenda preparation, and note-taking. Ensure project related documents are up-to-date and accessible to the team prior to meeting.
- Assist in regular monitoring of project budgets, tracking expenses, and reporting.
- Stay up to date on marketing trends, emerging technologies, and best practices in project management processes. Within three months of employment, obtain Smartsheet Product Certified (Pro Level).
- Complete special projects as assigned.
25% Content Management Coordination:
- Solicit, develop, and organize content calendars for email, newsletters, social media, and other content platforms.
- Work with the team to identify and implement process improvements that support the content strategy and maintain organized content libraries
- Monitor the progress of social media content calendars, ensuring it is reviewed, approved, and posted on schedule.
- Perform content quality review checks – proofreads content, fact checks data, and validates links, images, video, tags, etc.
- Upload and manage content on Content Management System (CMS) platforms designed to handle website or digital content.
- Monitor social media engagement, comments, and customer inquiries, updating tracking reports as requested.
15% Event/ Sponsorship Management:
- Support planning and preparation for 12 to 15 outreach events per year. Attendance is not required at the events.
10% Product Inventory Management
5% Marketing Collateral Inventory Management
MINIMUM EDUCATION
Bachelor’s degree in marketing, advertising, business management, or similar from an accredited institution or equivalent industry experience
MINIMUM EXPERIENCE
- 5+ years of experience in a mid-level marketing related position with an agency, consulting firm or equivalent, including 3+ years of project management experience.
- Solid understanding of marketing principles.
- Experience managing multiple marketing projects simultaneously, tracking and setting realistic deadlines, and fielding requests from clients and/or other teams.
- Experience working with designers, printers, suppliers, and contractors.
- Experience using project management software platforms (e.g., Smartsheet, Basecamp, Asano, etc.)
EXPERIENCE AND SKILLS
- PMP coursework and/or a certification in project management.
- Understanding of product marketing, customer marketing and complex buyer journeys.
- Understating of the email marketing campaign management platforms (e.g., MailChimp or Constant Contact.)
- Client consulting experience a plus.
- Public sector experience a plus.
TOOLS AND SOFTWARE PROFICIENCIES
- Proficient in Microsoft 365 and Google Workspace collaboration and productivity tools.
- Proficient in Microsoft Excel- creating and managing spreadsheets, pivot tables, and macros.
- Proficient in Microsoft PowerPoint- creating professional presentations, including the use of animations, transitions, and multimedia elements. Organize and structure presentation content to ensure clarity and logical flow.
- Proficient in Word- creating, formatting, editing documents and using advanced features such as macros.
- Proficient in Adobe Acrobat- creating, editing, organizing, optimizing PDFs; page management, combining files, review and approval flows.
- Use of digital production tools and technologies, such as content management systems (CMS), and project management software (e.g., Smartsheet, Basecamp, etc.).
- Experience using Adobe Creative Suites a plus.
- Familiarity with timesheet software platforms for professional services.
Work Schedule and Location:
The role requires regular office presence onsite working from the client’s office in Orlando on Tuesdays and Wednesdays from 8:30 AM to 5:30 PM. On Mondays and Thursdays, you are required to work onsite at office in Winter Park. Fridays are designated as work from home.
