Position Snapshot: The Office Administrator is responsible for overall front office activities including maintaining the front office, mail, and coordinating production-related activities. This position reports to the plant managers and serves as an integral part of the plant team. This position is fast-paced and multifaceted, requiring good organizational skills to handle a large volume of computer-based work where accuracy is imperative.

Essential Functions and Responsibilities:

  • Manages the main office area to ensure effective telephone and mail communications both internally and externally and maintain professional image.
  • Responsible for maintaining the office areas and equipment, as well as layout, arrangement, and supplies.
  • Responsible for all time and component daily production entry in Titan.
  • Provide daily Shipped Goods report to Accounting.
  • Maintain daily production schedule in conjunction with Plant Manager and Dry Utility sales team based on current and future jobs.
  • Participate in weekly conference calls on production scheduling and work with other production plants to meet customer demand; participate in plant functions and other meetings as required by management
  • Process accounts payable invoices following standard practices and company accounting policies ensuring accurate billing, coding, and delivery of correct materials and services Maintain plant petty cash and receipts.
  • Order necessary supplies, materials and services in conjunction with management and staff. Maintain purchase orders and work with vendors to ensure product delivery in a timely manner.
  • Follow company End of Month processes and procedures to complete necessary EOM tasks such as Finished Goods inventory, Raw materials and Resale inventory, and accruals using Titan, spreadsheets, and input from plant staff.
  • Assist plant manager to maintain COPQ incident reporting and tracking.
  • Maintain daily time/ labor using Dayforce ensuring all time punches are complete and correct. Follow company payroll policy on weekly processing requirements.
  • Maintain on-site personnel files, including all hiring documents, orientation training, safety training, job descriptions, job performance reviews, production personnel compensation records, Paid Time Off (PTO), and disciplinary recordkeeping. Follow corporate HR policies and procedures working closely with HR team to assist employees in accessing necessary HR and Benefits information.
  • Serves as back-up for dispatcher, being capable of managing product delivery scheduling with customers, generating shipping tickets, and directing delivery drivers.

  • Strong planning, multitasking, and organizational skills.
  • Attention to detail and strong recordkeeping processes.
  • Must have both accounting and HR skillsets.
  • Excellent communication, customer service and interpersonal skills.
  • Handles all persons in a calm and polite manner, regardless of disposition.
  • Professional appearance and manner.
  • Strong working computer skills with MS Office Suite (Word, Excel, PowerPoint, Outlook.)
  • Must be capable of learning software programs designed to manage all aspects of production scheduling. (Titan, CASS, COPQ, etc.)
  • Willingness to be trained in company-preferred software programs.


Qualifications:

  • High school diploma or GED equivalent; associate’s degree is preferred.
  • At least two (2) years of previous experience in office management.


Requirements:

  • Must reside in the continental U.S. within the assigned region. No relocation assistance is provided.
  • Must have a valid driver’s license.
  • Must be authorized to work in the U.S. for any employer.


Typical Schedule: Work is generally performed Monday-Friday, 40+ hours per week. Overtime evening or weekend work may be required during heavy work periods.

Typical Physical Demands: Physical agility, which may require any or all of the following: standing, sitting, walking, climbing, reaching, bending/stooping, lifting (30lbs. max), pushing/pulling (50lbs. max).

Working Conditions: Work is generally performed in an office environment with conditioned air and fluorescent lighting. May occasionally enter the production environment, with ambient weather/air conditions, loud noise, dangerous equipment, and variable lighting. Personal Protective Equipment (PPE) is required in all production and loading areas.

Compensation: Based on skills, knowledge, and experience.
