Position Overview: The Office Manager plays a critical role in the smooth operation of our company by overseeing daily administrative functions and providing vital support to staff, clients, and their families. The ideal candidate will be a proactive and detail-oriented individual with excellent communication and organizational skills. A passion for working in the human services field is essential, as the Office Manager will be interacting with clients, caregivers, and staff to ensure the highest standard of care.


Key Responsibilities:

  • Oversee and manage day-to-day office operations, including scheduling, filing, and correspondence.
  • Serve as the primary point of contact for office inquiries, responding to phone calls, emails, and visitors in a friendly and professional manner.
  • Coordinate staff schedules and client appointments, ensuring adequate coverage for all services.
  • Manage client intake processes, including maintaining accurate records, updating client files, and ensuring compliance with regulatory requirements.
  • Assist with billing, invoicing, and processing payroll in coordination with the finance department.
  • Maintain office supplies, inventory, and equipment, ensuring the office is well-organized and functions efficiently.
  • Support hiring, onboarding, and training processes for new staff, including maintaining personnel files.
  • Collaborate with management and service teams to support the ongoing improvement of administrative processes and office policies.
  • Ensure that office operations comply with relevant local, state, and federal regulations, including privacy and data protection laws.
  • Assist with planning and organizing company events, meetings, and client activities.


Qualifications:

  • Proven experience in office management, administrative support, or a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask, prioritize tasks, and manage time efficiently.
  • Proficiency in office software, such as Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling and payroll software.
  • Understanding of or experience in the human services field, particularly in serving individuals with intellectual and developmental disabilities, is highly preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High level of professionalism and a positive, compassionate attitude.
