About the role:

We are seeking an exceptional, highly organized, dynamic and proactive individual to join our collaborative team as an Office Manager and Administrative Support professional, and contribute to our exciting journey.

In this role you will play a pivotal role in ensuring the smooth operation of our office and providing essential administrative support to our team. You will be responsible for creating a positive employee experience, managing team travel, scheduling, and various office tasks.

This is a dynamic position that requires strong multitasking skills, attention to detail, and an individual who thrives in a dynamic startup environment. This position, based in our Boston office (downtown Boston) will require full-time office presence.

Requirements:

The successful candidate will have a proven track record in this area, in similar organizations and be able to work in a fast-paced, dynamic environment.

Minimum Qualifications

  • Bachelor's degree.
  • A minimum of 2 years of proven experience as an office manager, preferably in a startup environment, combining administrative assistance responsibilities to C-level executives.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong written and verbal communication skills, with attention to detail in English.
  • Experience in supporting HR duties such as hiring, employee experience and company events.
  • Discretion and confidentiality when handling sensitive information.
  • Ability to adapt and thrive in a fast-paced and rapidly changing startup environment, including the ability to adapt quickly and work efficiently with new platforms and technologies.
  • Strong problem-solving skills and ability to work independently with minimal supervision.
  • Exceptional interpersonal skills, with the ability to build and maintain professional relationships.
  • Flexibility to occasionally work outside regular office hours.

Preferred Qualifications:

  • Corporate event planning experience
  • Employer branding responsibilities in a growing company (including e.g. owning the comapy's Linkedin page, website and Glassdoor page)
  • Experience in providing support to PR/Marketing teams.
  • Experience working with design tools for corporate purposes, such as Canva and similar platforms.
  • Working experience with Jira and/or other task management tools

Responsibilities:

In this role, you will collaborate with, and support our team in different areas including:

Office Management:

Own all aspects of office operations and be a key point of contact for our research team for logistics and administrational support:

  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and professional work environment.
  • Manage office supplies, inventory, and equipment maintenance, ensuring availability and functionality.
  • Coordinate and supervise administrative tasks, including record-keeping, filing systems, and document management.
  • Manage office budgets, expense tracking, and billing processes.
  • Support recruitment efforts by assisting with candidate screening, scheduling interviews, and onboarding new hires.
  • Implement and maintain office policies and procedures to enhance efficiency and productivity.
  • Engage with internal IT support to solve any IT office needs.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Build and maintain positive relationships with internal and external stakeholders, including team members, vendors, and partners.

Employee Experience:

  • Foster a positive and inclusive workplace culture.
  • Plan and execute team-building activities and events.
  • Assist with onboarding new employees, including setting up workstations and conducting orientation sessions.
  • Address employee inquiries and concerns promptly and professionally.

Administrative Support:

  • Provide comprehensive administrative support to the executive team and other departments as needed.
  • Handle confidential information with discretion.
  • Manage and prioritize the scheduling of team meetings, conferences, and events.
  • Manage the CEO's calendar, schedule appointments, and coordinate meetings, both internal and external.
  • Ensure timely communication and follow-up on meeting requests and changes.

Travel Coordination:

  • Arrange domestic and international travel for team members, including flights, accommodations, and transportation.
  • Prepare detailed travel itineraries and ensure all travel arrangements are cost-effective and within budget.

General Support:

  • Assist with special projects and ad-hoc tasks as assigned by the executive team.
  • Support HR with employee records, benefits administration, and team events.
  • Act as a liaison between the office and external partners or clients.
