Job Description: We are seeking an experienced and detail-oriented Administrative Supervisor/Office Manager to oversee our administrative operations and client service. The successful candidate will manage administrative staff and client service, ensuring that all office procedures are efficient and effective, and clients receive excellent service. Responsibilities include workflow management, handling client inquiries and correspondence, billing & collections, scheduling, and supporting the team with administrative tasks.
Responsibilities
- Supervise and coordinate the daily activities of the administrative staff.
- Assistance in implementing and maintaining technology solutions
- Develop and implement office policies and procedures to ensure operational efficiency.
- Assistance with and coordination of internal staff meetings and trainings
- Manage office supplies inventory.
- Coordinate maintenance of office equipment and facilities.
- Liaise with leadership to support staff development and performance management.
- Ensure compliance with firm policies and legal regulations.
- Ensure security, integrity, and confidentiality of data.
- Assist with onboarding new employees.
- Workflow management and assignment of work and priorities for staff.
- Oversee client scheduling, meeting arrangements, and communication.
- Identification and communication with clients related to information needed for tax preparation
- Oversee e-filing process and communications to clients when their return or deliverable is ready
- Oversee client billing and collection activities
- Oversee new client onboarding and set-up
- Oversee extension process and related communications to clients
- Handle and coordinate responses to client inquiries
Skills and Expertise:
- Proven experience as an Administrative Supervisor or similar role.
- Some knowledge of accounting firm operations, tax preparation and client services.
- Strong attention to detail.
- Ability to multitask and prioritize work effectively while delegating.
- Adept at efficiently learning new concepts.
- Strong organizational skills.
- Excellent verbal and written communication abilities.
- Proficiency in MS Office and client management software.
- A collaborative spirit with a focus on continuous improvement.
Qualifications
- Bachelor's degree or equivalent experience
- Public accounting / client-facing experience
