EthosEnergy is seeking an Office Manager for full-time employment at Apex Generating Station, which is a natural gas power plant located in Las Vegas, NV. This critical function is responsible for coordination of the Plant business functions, procurement, contract administration, human resource support, accounting, information technology, short and long-range forecasts, budgeting, variance analysis, and on-site warehouse. In this role, you will work closely with the Facility Manager, staff, and the corporate office to ensure the overall success of plant operations and activities, providing leadership and direction to plant in areas such as planning, cost, and efficiency.

Annual Salary for this position as commiserated with experience and education: $94,036.00 - $98,311.00

Job Responsibilities

  • Overseeing the work warehouse employees to ensure they work productively and meet deadlines and company standards.
  • Manages the procurement process to ensure that materials and services are competitively and timely procured with good internal controls and policy.
  • Assists in the negotiation, and manages contracts, including reconciling expense reports, timesheets, and resolving disbursement issues.
  • Analyzes and interprets contractual documents; reconciles and oversees the inventory and cost of plant physical assets.
  • Develops, manages, and communicates integrated budgets and comprehensive short- and long-range forecasts manages O&M and capital budgets, analyzes variances, publish pay schedule reconciliation, and prepares management reports; and assures consistency in budgeting methodology among the Managers.
  • Responsible for managing the accounts payable full-cycle, accurately and timely while maintaining good vendor relations; and processing of yearend 1099’s and W -9 form.
  • Establishes and maintains effective working relationships with colleagues and associates; examines business practices used by our sister plant and facilitates discussion to integrate the best practices, and represents the company to community leaders, vendors, and others.
  • Maintains plant procedures and ensures business operations are in compliance with corporate office policy; collaborates with corporate office accounting to maintain Fixed Assets and depreciation; ensures internal controls are in compliance with prudent utility business practices and serves as the plant liaison for audits.
  • Collaborates with home office staff to develop and implement corporate Office initiatives such as record retention, information technology, Maximo, and similar tasks.

Required Skills / Knowledge

  • Excellent problem-solving skills and leadership qualities. Displays outstanding critical thinking skills.
  • Proficient in Microsoft Office, Word, Excel, PowerPoint.
  • Proficient in Maximo, Adobe Acrobat Pro, and Information Technology.
  • Demonstrates sound business practices in strategic purchasing and contractual commitments.
  • Possesses knowledge of contract law, commercial terms, and standard procurement procedures.
  • Demonstrates leadership abilities.
  • Uses appropriate interpersonal styles and methods to inspire and guide individuals.
  • Actively participates to move the team toward the completion of goals.
  • Demonstrates skill in planning, coordinating, and directing varied programs and tasks directly affecting plant business functions.
  • Identifies key issues and relationships relevant to achieving a long-range goal or vision and commits to a course of action.

  • Develops collaborative relationships to facilitate the accomplishment of business goals.

  • Proficient in budgeting, financial reporting, and variance analysis.
  • Knowledgeable internal controls and audit functions.
  • Knowledgeable in the energy industry, preferably in the independent power or utility sector.

Experience

  • 8-10 years related experience in any number of the following: Procurement, Information Technology, Contract Administration, Human Resources Administration or Supervision, Accounting, Financial Analysis, and Budgeting and Variance analysis.
  • Front office experience with an Independent Powerplant, utility or other heavy industrial experience desired.

Education Requirements

  • Bachelor’s degree in Accounting, Business, Finance, or other relevant field, and/or 8+ years of related experience supervising in an office.

Physical Requirements

  • Ability to sit and work on a computer for long periods of time.
  • Ability to perform walking, reaching, climbing, and stooping and lifting (up to 30 pounds).
  • Ability to travel as required, although infrequent.
