Position: Office Manager

Location: New York, NY (Midtown)

Hours: 8:30am – 4/4:30pm

Compensation: $DOE + bonus eligible + daily lunch + robust benefits

Degree: Required

*This role is in office 5 days a week!


Our client, an investment advisor in midtown, is seeking an Office Manager to join their team. The ideal candidate will be detail oriented, entrepreneurial, have a great attitude, and a no task too small mentality. This role reports directly to the General Counsel (COO, CCO, GC).


Responsibilities of the Office Manager:

  • Greeting/assisting guests and setting up conference rooms for meetings
  • Responsibility for maintaining physical office space (including managing conference room scheduling, stocking office supplies and pantry, liaising with building security, engineering, and other services, liaising with key third-party vendors such as HVAC, security
  • Human capital support (including working with COO to run onboarding and offboarding, IT support)
  • Working with COO to ensure that third-party integrators (IT, phone) are attending to employee needs
  • Owning IT inventory management
  • Device procurement
  • Administrative support including backing up Founder’s EA on scheduling matters, including limited travel
  • Working with compliance personnel to manage research calendar and related reporting
  • Providing bookkeeping support to operations team (e.g., helping manage invoices)
  • Working with COO on special projects – e.g., compiling and submitting insurance applications; planning firm social events
  • Maintaining documentation in specific software (Confluence)


Requirements of the Office Manager:

  • Undergraduate degree with 5+ years of experience, preferably in financial services
  • Team player, able to collaborate and coordinate with other team members
  • Service oriented, mature and confident, able to manage multiple tasks simultaneously
  • Must be proactive and can work independently with, strong problem-solving skills
  • Organized, intelligent and inquisitive
  • Persistent and solutions-oriented with an ability to conceive, plan, and execute projects
  • Professional and operates with discretion
  • Comfortable with using various tech platforms (examples of what we use: Microsoft suite – PowerPoint a plus!, CorpAxe, Confluence)
  • Verification of identity, education, prior employment, and references may be required
