What You Will Achieve

  • Serve as the point person for: Facilities Maintenance / Mailing / Supplies / Equipment / General office & operation related accounts / Errands / Purchasing / Inventory of breakroom items
  • Partner with HR to update and maintain office policies as necessary.
  • Track and order office supplies, snacks, and beverages regularly; stock and replenish them daily.
  • Manage and proactively contact suppliers to establish/track both retail and office supplies such as uniforms, employee budgets, delivery accounts, purchasing accounts etc)
  • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested
  • Improve administrative, travel, and procurement processes to control costs and expenses
  • Manage and lead agendas/travel arrangements/appointments etc. for North America colleagues
  • Coordination with the IT department on all office equipment.
  • Facilitate the first day onboarding experience for new employees.
  • Assist colleagues whenever necessary


What You Will Need

  • 3-5 Years of experience as an Office Manager, Front Office Manager or Administrative Assistant.
  • Strong interpersonal skills to communication skills to interact with customers, management, and staff
  • Excellent time management skills with the ability to multi-task, prioritize work and manage projects.
  • Familiarity with office management procedures and basic accounting principles
  • Enhanced organizational and planning skills with the ability to operate in a fast paced ever evolving environment
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Fluent in Chinese Mandarin is preferred
