Office Manager

The Office Manager will conduct all day-to-day office management duties while also supporting the advertising sales team and handling circulation and distribution of the Post and Courier Columbia print product. Additionally, this position will assist in financial reporting and other support work for the Evening Post Publishing newspaper group.

Responsibilities

  • Manages the day-to-day administrative functions of the Free Times / Post and Courier Columbia office
  • Reviews Columbia office practices/procedures and makes recommendations for improvement, with focus on new technology, training and administrative systems.
  • Manage circulation and distribution of printed newspaper, including route management, managing relationships with drop locations, and oversight of contracted delivery drivers.
  • Order and manage internal (“house”) advertising campaigns, including print and digital ads.
  • Work with credit department and business manager for all financial reports.
  • Answer incoming calls, channeling to correct person, and relaying messages effectively and efficiently.
  • Produce financial reporting, commission statements and other analysis for Free Times / P&C Columbia and other newspaper group properties as needed
  • Work with corporate finance / AP team to ensure all payables are done in a timely manner.
  • Assist Chief Revenue Officer in reporting, financial analysis and administrative work related to Evening Post Publishing’s advertising division
  • Support advertising sales team and clients by assisting in post-sale account management and other campaign fulfillment efforts as needed.
  • Serve as backup to Account Relationship Specialists (ARS) positions when needed
  • Performs administrative and office support activities.
  • Handle all walk-in customer or reader needs.
  • Stock office supplies and generate office orders.
  • Various administrative tasks as required.
  • Keeps the office running smoothly.
  • Perform other duties as requested by management.

Requirements, Minimum Education Level, And Experience

  • 1-2 years experience in office management, customer service, events or marketing
  • Bachelor’s Degree in Accounting, Business or related field preferred

Knowledge, Skills And Abilities

  • Strong multi-tasking skills.
  • Must have strong leadership and diplomatic skills and ability to handle stress well.
  • Newspaper experience preferred
  • Proficiency in Excel, Word, Outlook, and Internet skills
  • Team player who will assist the entire team in moving forward

Physical Requirement: Close eye work, continuous sitting, constant walking, standing, light to moderate lifting 15-30 pounds (per safety policy).
