The Role

We are seeking an Office Operations Manager to join our team - this role will be responsible for overseeing the day-to-day administrative functions of Empora HQ and acting as the face of Empora for any clients entering our office. The Office Operations Manager will oversee our janitorial services, supply vendors, and supplies. This position will be the first point of contact for all clients coming into the office and will manage the scheduling and facilitating of closings. Finally, the Office Operations Manager will also play a key role in maintaining a positive work environment, in-office meals and events, and overseeing any future offices as we expand.


Responsibilities

  • Greet and welcome visitors in-person and over the phone with a positive, friendly demeanor.
  • Oversee the closing calendar and make sure the appropriate rooms are booked and papers are in order.
  • Strategically manage our CEO’s calendar and inbox in a timely manner, along with providing calendar support to the Executive Leadership Team.
  • Maintain a tidy and organized reception area.
  • Receive and sort daily mail, deliveries, and couriers.
  • Work closely with our Post-Closing team to ensure disbursement of funds and recordings are handled in a timely fashion.
  • Manage office supplies and inventory, ensuring that the office is well-stocked.
  • Oversee office maintenance and cleanliness, liaising with cleaning services and vendors.
  • Organize office events, including lunches and meetings.
  • Assist with filing, photocopying, scanning, and other clerical tasks as required and support other departments with administrative tasks as needed.


Qualifications

  • Located in or near Columbus, OH. This will be an in-office position Monday - Friday.
  • Proven experience as an Office Manager, Administrative Assistant, or in a similar role.
  • Experience with office management software - Google Workspace a plus
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Flexible and collaborative mindset; willing to assist team members with administrative tasks and projects outside of job description.
  • Experience in the Title and/or Real Estate Industry a plus.
