Position Summary:

The Order Fulfillment Coordinator is an integral part of the Supply Chain/Inventory Optimization team. This role is responsible for managing and optimizing the order fulfillment process to ensure timely and accurate delivery of products. The coordinator supports the company's vision by coordinating with multiple departments to maintain a seamless order cycle, improve efficiency, and provide strategic insights that drive decision-making.

Additional Information:

  • This is a permanent, full-time salary position
  • Our Headquarters office is located at 7630 Biscayne Blvd., Miami, FL 33138
  • This role participates in our hybrid schedule
    • Hybrid Schedule: Monday & Friday; 2 days working remotely. Tuesday, Wednesday & Thursday; 3 days working in the headquarters office.
  • Team member will be expected to travel locally once a week to our Distribution Center, located at 3151 NW 125th Street, Miami, FL 33167

Major Duties Include:

Order Fulfillment:

  • Review and release customer orders (Daily and Back orders) in SAP for fulfillment, ensuring accuracy and timeliness.
  • Coordinate with Miami Distribution Center and California 3PL to ensure orders are processed, picked, packed, and shipped according to customer requirements.
  • Monitor and manage order status, addressing any issues or delays, and ensuring prompt communication with relevant departments.
  • Manage dated orders and optimize inventory allocations to meet the order required delivery schedule.
  • Assist the Inventory Optimization & Logistics Sr. Manager to identify SKUs that need to be expedited.
  • Reserve inventory for specific customer orders, upcoming projects, and special production runs.
  • Update information in SAP and ensure data accuracy of inventory reconciliation and cycle counting.
  • Support the Inventory Optimization & Logistics Sr. Manager in managing seasonal demand fluctuations and special promotions.

Communication:

  • Manage internal Order Fulfillment HQ emails. Serve as the primary point of contact for order-related inquiries from Customer Service, Sales, and other internal teams.
  • Provide real-time updates to internal teams on order status, shipping details, and any potential delays.
  • Collaborate with the Sales and Customer Service teams to manage customer expectations and resolve order-related issues.
  • Communicate with CN team for shipment information needed to do the order fulfillment.

Reporting & Documentation:

  • Review and update key reports such as order fulfillment reports, including open order reports, fully committed reports, and OTIF (On-Time In-Full) metrics.
  • Provide Miami DC & California 3PL with sales order projections so they can plan their workforce.
  • Prepare and distribute daily, weekly, and monthly reports to track fulfillment performance and identify areas for improvement.
  • Ensure all shipping documentation is accurate and properly filed in a timely basis.

Process Improvement:

  • Drive continuous improvement initiatives to enhance the efficiency and accuracy of the order fulfillment process.
  • Identify bottlenecks and propose solutions to streamline workflows and reduce order processing times.
  • Collaborate with IT and other departments to implement system enhancements and automation in the order fulfillment process.

Special Projects & Additional Duties:

  • Participate in special projects and initiatives as assigned by the Inventory Optimization and Logistics Sr. Manager.
  • Support emergency requests and handle urgent order fulfillment needs as they arise.
  • Actively engage in team meetings, providing input and feedback on order fulfillment processes and performance.

Other Duties:

  • Records personal daily punches and approves accurate bi-weekly time and attendance records 
  • Assists with other various projects as needed
  • Actively participates and engages in all one-on-one and group meetings
  • Promotes our FOH® Culture in all interaction

Education, Experience & Computer Skills:

  • Bachelor's degree preferred
  • Minimum of 5+ years of inbound logistics, order fulfillment or related experience
  • Proficient in all Microsoft Applications, Excel
  • Proficient with Warehouse Management Systems
  • Knowledge of ERP, SAP Business One

The salary/hourly range for this role represents numerous factors considered in the hiring decisions, including, but not limited to, work experience, territory, geographical location, etc. As such, starting pay for the successful candidate(s) could fall anywhere within the stated range.
