Part-Time Executive Assistant to Director of Business Operations

Description

We are seeking a dedicated and detail-oriented Remote Executive Assistant to support our growing operations. This part-time, remote position is ideal for individuals who thrive in a flexible work environment and enjoy making a positive impact on various client projects. Candidates based in Florida, Maine, Ohio, or Texas are encouraged to apply, as you will work closely with our Director of Business Operations.

Objectives of the Role

  • Provide essential support to the Director of Business Operations.
  • Assist multiple clients with a variety of tasks as directed.
  • Maintain strong client relationships and continuously improve internal processes to better serve both the company and our clients.
  • Facilitate communication between clients' upper management and employees, collaborating with both internal and external executives on various projects and tasks.
  • Organize and prioritize work to ensure that client priorities are met, organizational goals are achieved, and best practices are maintained.

Daily And Monthly Responsibilities

  • Manage both the professional and personal needs of various clients.
  • Keep detailed records using our timekeeping system.
  • Coordinate complex scheduling and extensive calendar management, ensuring smooth communication flow to senior executives of our virtual clients.
  • Arrange travel and travel-related activities, including booking hotels, transportation, and meals for our virtual clients.
  • Perform a variety of administrative tasks such as typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases.
  • Uphold professionalism and strict confidentiality in all materials, exercising discretion in client interactions.
  • Organize and manage client communications, including answering phones and relaying messages.
  • Plan and coordinate client events.
  • Respond to all client requests within a maximum of 4 business hours.
  • Effectively navigate and prioritize tasks while multitasking.
  • Assist with any other tasks as needed.

Skills And Qualifications

  • At least 4 years of experience in an administrative role reporting directly to senior management.
  • Experience with Salesforce.
  • Excellent written and verbal communication skills.
  • Strong time-management skills and the ability to organize and coordinate multiple projects.
  • Proficiency in Microsoft Office and other productivity tools, with a quick aptitude to learn new software and systems.
  • A flexible team player who is willing to take on challenges and is adaptable to changing situations.
  • Ability to maintain confidentiality across various companies.
  • Prompt, motivated, and a confident self-starter.
  • Professional and confident phone presence.
  • Availability to assist with urgent requests.

Preferred Qualifications

  • Experience in developing internal processes and filing systems.
  • An associate degree or higher in administration, or equivalent experience.
  • Familiarity with CRM systems such as Active Campaign, Zoho, Pipedrive, etc.

Schedule

  • Monday to Friday
  • 10-20 hours per week to start, with potential for growth.
