Proactive Executive Assistant to Director of Business Operations

Description

We are seeking a dedicated and proactive Remote Executive Assistant to join our team and support our dynamic growth. In this role, you will provide essential administrative support to our Director of Business Operations and assist various clients with their needs.

Responsibilities

  • Support the Director by assisting with day-to-day tasks and projects, ensuring smooth operations and effective communication.
  • Help various clients as needed, maintaining strong client relations and improving internal processes.
  • Act as a liaison between clients’ upper management and employees, managing communications and coordinating tasks with internal and external executives.
  • Organize and prioritize work to align with clients' goals, ensuring best practices are followed.

Daily And Monthly Responsibilities (varies By Client)

  • Address both professional and personal needs for multiple clients.
  • Handle complex scheduling, calendar management, and information flow for senior executives.
  • Arrange travel, including bookings for hotels, transportation, and meals.
  • Perform office support duties such as typing, dictation, spreadsheet creation, and database management.
  • Maintain a high level of professionalism and confidentiality in all interactions.
  • Organize and manage client communications, answer phones, and plan client events.
  • Address all requests within 4 business hours and handle multiple priorities effectively.

Skills And Qualifications

  • 4 years of experience in an administrative role supporting senior management.
  • Proficiency in Salesforce and Microsoft Office, with the ability to learn new software quickly.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills, with the ability to manage multiple projects.
  • Flexible, adaptable team player who enjoys challenges.
  • Professional phone presence and the ability to handle confidential information.
  • Self-motivated and prompt, with a readiness to handle urgent requests.

Preferred Qualifications

  • Experience developing internal processes and filing systems.
  • Associate's degree or higher in administration, or equivalent experience.
  • Familiarity with CRM systems such as Active Campaign, Zoho, or Pipedrive.

Schedule

  • Monday to Friday
  • 10-20 hours per week to start, with potential for growth
