Processing Archivist

Educational Programs and Services (EPS) is home to departments and programs that are central to the educational mission of the Stanford University School of Medicine. We serve all populations of students and trainees who participate in the School's programs: Stanford MD, MS, MSPA, and PhD students; visiting MD students seeking clinical clerkships; postdoctoral scholars and medical fellows; and medical practitioners seeking further professional enrichment. Our goal is to provide a Stanford School of Medicine experience worthy of our students' and trainees' talents, aspirations, and dedication.


The Stanford Medical History Center (MHC) in Lane Medical Library is the archives and rare books collection at Stanford Medicine. The MHC collects and manages a wide range of historical sources related to the institutional history of Stanford Medicine as well as the history of medicine and the history of California more generally. The MHC provides reference and research services as well as training in historical research for a variety of users, including historians, genealogists, artists, and Stanford faculty, students, and administrators. The MHC also does interpretive work such as exhibits, walking tours, and presentations. The resources and services of the Stanford Medical History Center make it possible to tell new stories about Stanford Medicine and provide people with new ways to find themselves within those stories.


Job Purpose

The Lane Medical Library team is currently seeking a part-time Processing Archivist to join a passionate and value-driving team in an exciting and dynamic work environment to assist in the processing of archival collections.


Responsibilities include: arranging and describing archival collections, using ArchivesSpace software and data content standards such as DACS and reviewing the collections’ content for purposes of conservation or restrictions based on protected health information. The Processing Archivist would also be responsible for the submission of completed finding aids to aggregation databases such as the Online Archive of California (OAC).


Flexible Schedule: Monday - Friday; 19 hours per week during regular business hours


Work Agreement: On-site at Lane Medical Library, Stanford Medicine


Core Duties:

On-site arrangement and description of archival collections, including institutional records and personal papers. This position works under the direction of the Stanford Medical History Center’s Historical Curator.


Education (Required):

MLIS degree or current enrollment in an American Library Association-accredited library school, including formal coursework in processing archival collections, or Certification or current enrollment in the Academy of Certified Archivists.


Knowledge, Skills, and Abilities (Required):

  • Familiarity with archival metadata standards including Encoded Archival Description (EAD) and Describing Archives: a Content Standard (DACS)
  • Prior experience processing archival collections; this can include paraprofessional, student, volunteer, or internship experience
  • Physical capability of lifting and moving boxes weighing up to 50 pounds as well as working with materials that might contain dust, dirt, or other potential allergens and hazards
  • Experience with detail-oriented work, including the ability to analyze and revise legacy finding aids
  • Excellent communication and organizational skills
  • The ability to work both independently and collaboratively
  • The ability to maintain confidentiality regarding sensitive or restricted content such as historical patient health information


Desired Qualifications

  • Familiarity with ArchivesSpace and other collections management systems
  • Familiarity with anti-racist archival theory and inclusive description
  • Familiarity with applying MPLP (more product less process) to processing collections


This role is open to candidates anywhere in the United States. Stanford University has five Regional Pay Structures. The compensation for this position will be based on the location of the successful candidate.


The expected pay range for this position is $20.00 to $30.00 per hour.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
