JOB SUMMARY:


The Production Coordinator is a support role for the Creative Production (Broadcast) Department. The enthusiastic candidate is eager to develop basic production skills and/or build on existing skills by learning support functions across production, including production operations, talent and rights management, resourcing, project tracking and archiving.



The Production Coordinator is organized, detail oriented, and a strong communicator with the ability to support several projects simultaneously. As you develop in this role you will learn how to comprehensively support and manage aspects of production and begin to liaise with creative, project management, finance, and account teams. The PC will seek to gain a well-rounded understanding of agency production and the various tasks and roles involved in the agency production process.




ESSENTIAL FUNCTIONS:


Production Support Responsibilities


Provide administrative support to the general operations for all productions, transfer of rights, including but not limited to file management, project wrap and archiving /organization of work. Develop knowledge of the Production, Operations, and Business Affairs process and workflow. Basic skills and ability to organize, prioritize, manage, and complete projects are necessary.


Financial / Contractual Acumen


Assists with finances related to production, including creation and reconciliation of estimates, vendor PO and invoice management, payment inquiries and job status maintenance.


Growth Management


Proactively builds their knowledge of production, identifies the aspects of our discipline they are eager to gain proficiency in. Shows interest and takes initiative to develop professionally into a thriving Producer, Business Affairs Manager, or Operations Manager.


Intro to Talent

Participates in internal & external initiatives to elevate agency & network operations, community & brand.



JOB DUTIES / RESPONSIBILITIES:


Active Production Support


· Responsible for supporting all day-to-day aspects of production. With shoot coordination, including the creation of POs, production timelines and managing post-production retouching workflow.


· Maintains appropriate levels of engagement with our internal teams through clear, concise communication. Reaching out in a timely manner, proactively for communication guidance and mentorship.


· Collaborate well across departments within the agency and establish positive interagency relationships.


· Understands the importance of thinking on the fly and how to troubleshoot quickly and effectively.


· Partner with Business Affairs to review creative materials at all stages to learn production and talent requirements and client/agency guidelines and best practices.



Production Operations Support


· Assist Producers and Licensing Specialists with production planning and licensing tasks, including accurate data entry.


· Maintain an organized workflow system to manage requests.


· Assist with completion reports and final paperwork for database upload.


· Assist with intake and outbound asset uploads, and trafficking photoshoot/art uploads to the server by the DAM team.


· Liaise with internal finance and support new vendor set ups.


Financial / Contractual Acumen


Learn about our financial system.

Develop knowledge of standard contractual language, process and how agreements are implemented across collaborative agency partners.


Intro to Talent


· Learn the rules and regulations of the SAG-AFTRA Commercials Contract, SAG-AFTRA Co/Ed Contract and nonunion talent implications.


· Consult with Talent Management on project talent requirements.



Agency & Culture


· Participates in agency and network-wide initiatives related to operational & cultural improvements.


· Engages and celebrates organizational efforts around Equity, Diversity, & Inclusion.


· Supports the agency & network in internal/external events (panels, conferences, etc.)

· Software: Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint or Keynote, Teams) or equivalent platform

· Offers an area of interest or expertise (Broadcast, Operations Business Affairs, etc.) while also learning about all disciplines.


· Strong verbal and written communication skills

$38,100 to $54,700 annually
