Position Summary

Each year Trinity College of Arts & Sciences awards nearly 80 percent of Duke University’s undergraduate degrees, and approximately 40 percent of all graduate degrees in disciplines across the arts, humanities, natural sciences, and social sciences. Through the contributions of our 700 faculty and 35 departments and programs, Trinity College’s disciplinary excellence and multidisciplinary interests undergird the research, teaching, and service that have becom e the hallmarks of the university. Philanthropic support for the college , which is Duke’s flagship program in the liberal arts, affects every fa cet of the university. This work is accomplished through strategic align ment with the academic and university leadership as well as deep coordin ation with development and program directors within Alumni Engagement &a mp; Development (AED). Trinity College and The Graduate School are intri cately connected, and thus so are their fundraising priorities and gifts to one school often benefit the other.

The Program Coordinator assists the Director of Operations, Development Directors, and Program Directors in board administration and volunteer management. They will support the development and implementation of processes, resources , and best practices for the Trinity College and The Graduate School (TG S) team. The Program Coordinator reports to the Director of Operations.

Responsibilities

Development Board Support

  • Support Trinity College and TGS leadership in the planning, weekly project plan tracking, and execution of board and committee meetings. These volunteer engagement opportunities include—but are not limited to—the Trinity College Board of Visitors, Graduate School Board of Visitors, and Duke Financial Economics Center Steering Committee.
  • Play an integral role in supporting the administration of board, committee and task force membership, and annual board nominations, renewal, and roll-offs.
  • Assist with communications and requests for information and serve as the primary operational point of contact for the Graduate School Board of Visitors and Duke Financial Economics Center Steering Co mmittee.
  • Compile meeting minute drafts and liaise with Special Events colleagues on meeting logistics and the sharing of effort and resources.
  • Supporting boards, committees, and task forces necessitates a wide variety of tasks, for example: coordinating invitation lists and distributions, arranging for speakers, preparation and distribution of communications, which require an eye for detail while maintaining awareness of our larger organizational priorities and goals.

Programmatic Advancement and Project Management

  • In support of board and steering committee activities, collaborate with colleagues within and beyond Alumni Engagement & Development to represent and advance the Trinity College and Graduate School team’s interests and goals.
  • Continually seek opportunities to provide new and useful resources and tools to advance the team’s development work.
  • In support of volunteer engagement, this position may provide a broad range of development support according to each area’s needs, such as writing prospect briefings, pulling ad hoc lists and reports, gift processing, and maintaining coding conventions in DADD for board members, program alumni, etc.
  • Coordinate the implementation of special projects as they arise and use a creative mind and flexible outlook to field the unexpected.

Skills And Qualifications

  • Solid knowledge of the fundamentals of fundraising/advancement
  • Experience with the Duke Alumni and Development Database (DADD) preferred
  • Experience in board management support
  • Strong project and data management skills and experience
  • High level of Excel proficiency
  • Demonstrated ability to organize and follow through with complex tasks to meet deadlines, while also planning, prioritizing and multitasking across multiple areas
  • Ambition, creativity, flexibility and resourcefulness in analyzing situations, finding, and recommending appropriate solutions to problems, and implementing action steps

Preferred Qualifications

Wor k requires a general knowledge of fundraising, preferably in higher education. Working knowledge of volunteer board management, procedures, and activities normally acquired through 3-4 years of development experience, preferably in a higher education setting or an equivalent combination of relevant education and/or experience.

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
