Position Summary


The Program Manager, Blood and Marrow Transplant (BMT) program provides administrative leadership, management, and quality program supervision for the clinical, research, and procedural activities of the Blood and Marrow Transplant Program. The Program Manager collaborates with leadership across multiple disciplines and departments to execute a cohesive organizational development strategy that aligns with the Stony Brook Medicine mission and strategic plan and maintains open and ongoing communications. While the range of duties and responsibilities is broad and varied. The Program Manager lead the development and maintenance of successful programs to provide optimal care for the BMT population while ensuring that all patients have an opportunity to enroll in eligible clinical trials. The Program Manager oversees the reporting of all required patient data to the Center for International Blood and Transplant Research to ensure all deadlines are met and the BMT program remains in good standing.

The Program Manager matrix reports to the Cancer AVPs of Operations and Nursing and also works closely and collaboratively with leaders from the Stony Brook Cancer Center such as the MART 5 clinic, MART 6 Infusion Center, and 19S Inpatient Unit, and Apheresis Unit, to effectively and safely coordinate patient treatments and admissions. The Program Manager has management and budgetary responsibility for the RN coordinators, RN quality coordinator, financial coordination, and administrative staff. As the Stony Brook Cancer Center administrative leader for BMT services, the Program Manager establishes processes to promote optimization of patient care across these departments providing consistent, outstanding, evidence-based care to BMT patients.


Duties of a Program Manager, BMT may include the following but are not limited to:

  • Aligns Stony Brook Cancer Center’s mission, vision and values with the BMT Program’s organizational and operational framework.
  • Responsible for overseeing the BMT team in preparation for the required certification by the Foundation for Accreditation of Cellular Therapy (FACT) as well as the FDA and other regulatory agencies.
  • Ensure that all quality management policy procedures follow FACT standards and all applicable state and government laws and regulations prior to implementation.
  • Oversees periodic reviews and audits of clinical program activities to ensure continued compliance with all written SOPs and policies.
  • Manages federally mandated data reporting to the Center for International Blood and Marrow Transplant Research and the National Marrow Donor Program. Ensures all reporting deadlines are met.
  • Assists the transplant financial team in the development of managed care contracts with third party payors. Oversees the preparation and annual reporting of programmatic data to third party payors to maintain contracts.
  • Maintains Universal Procedure of Interactions (UPOIs) with contracted donor centers to maintain recognition as an NMDP Apheresis and Marrow Collection center.
  • Manages all stem cell collections via apheresis and marrow harvest at SBM. This includes meeting with NMDP leaders quarterly to review product data to ensure we are providing the highest quality product and discuss strategies for improvement.
  • Manages complex interdisciplinary relationships to maximize collaboration throughout the BMT program.
  • Works with Marketing to develop and implement effective strategies to increase referrals from all regional providers.
  • Meets at least monthly with the BMT Medical Director and work together to develop and support new protocols and programmatic changes within the BMT program.
  • In collaboration with quality manager , works with Cancer Center, Infusion Center, and Inpatient nurse leaders to ensure staff remain up to date on all new clinical and program changes.
  • Lead and/or serve on a variety of appropriate internal and external committees to represent the BMT Program.
  • Serve as a representative of the BMT Program to SBM and referring physicians in order to communicate shared interests and develop and sustain relationships across the SBM enterprise and beyond.



  • Administrative Leader

    • Manages the BMT program staff including Quality Manager, RN transplant coordinators, and administrative assistants
    • Develop and implement policies and procedures and ensure each staff member understands his or her expectations and responsibilities.
    • Interview and select exceptional candidates for BMT office positions to match our needs and advance our program.
    • Assist in the interview process for BMT providers
    • Continually communicates performance expectations with employees and performs formal performance reviews annually and submits appropriate documentation.
    • Promotes the clinical growth of all employees including encouraging staff to participate in continuing education and/or attain certification when applicable.
    • Manages collaboration and communication with other members of the BMT team including providers, pharmacy, and social work to ensure all patients’ needs are appropriately addressed.
    • Collaborates with MART 5, MART 6 Infusion, 19S Inpatient Unit, and Apheresis unit to provide exceptional care to all BMT patients and their family members.
    • Manages and facilitates BMT programmatic meetings and ensures minutes and decisions are clearly documented, recorded, and disseminated.
    • Manages stem cell product search and acquisition for all transplant recipients including domestic and international search process and timely delivery of products to SBCC.
    • Works collaboratively with SBM legal department and Cellular Therapy Manufacturers to develop and maintain Master Service Agreements.
    • Manages initial and routine REMS training for all BMT providers in accordance with each Cellular Therapy Manufacturer’s policies.


    Quality

    • Collaborates with Quality Manager and BMT Medical Director to routinely review ongoing projects to prioritize and delegate appropriately.
    • In collaboration with Quality Manager prepares quarterly quality reports and facilitate meetings to distribute quality data to all staff within the BMT program.
    • Evaluates current and new systems by benchmarking patient outcomes against other high performing BMT programs and identify areas for improvement.
    • Remains current of best practices within Cellular Therapy and incorporates evidence-based practice into program development.


    Financial Manager

    • Develops the annual budget based on performance from previous years and predictors for programmatic changes that will influence expenses and revenue.
    • Ensures all donor charges are entered into recipient chart via charge router on day of transplant or when decision has been made not to proceed to transplant.
    • Oversees and approves purchase of supplies, subscriptions, and NMDP donor charges. • Manages scheduling and documentation of all BMT procedures including research procedures to ensure adequate staff and resources are available for all procedures.
    • Establishes realistic and actionable annual financial goals.
    • Actively benchmarks similar BMT programs to set annual targets.
    • Demonstrates fiscal responsibility and works to ensure the creation of plans, justification of variances and analysis of cost benefits.
    • Ensures effective management and maintenance/troubleshooting of facilities and equipment.


    Educator/Research Facilitator

    • Collaborates with SBCC BMT/Hematology research coordinators to facilitate patient enrollment in eligible clinical trials.
    • Participates in the development and maintenance of patient education materials for the BMT program.
    • Assists in development of BMT education and training for new nurses within the cancer clinic, infusion center and adult and pediatric inpatient units.


    Professional Development

    • Participates in professional organizations focused on stem cell transplant and cellular therapy.
    • Maintains Bone Marrow Transplant Nursing Certification.
    • Attends national conferences when able to stay up to date on BMT and cellular therapy research and to network with other BMT administrators.
    • Collaborates with other BMT program administrators at other national transplant centers to remain up to date on new policies and practices to improve patient outcomes.


    Qualifications

    Required:

    • 5 years clinical experience with bone marrow transplant and 2 years of leadership experience in bone marrow transplant or oncology.
    • Bachelor’s degree.
    • RN License in the State of New York.

    Preferred:

    • 3-5 years progressive leadership experience within bone marrow transplant program in an academic setting.
    • Masters Degree in Business Administration, Healthcare Administration, Nursing or related field.
