The Opportunity

We are seeking a skilled Project & Change Manager, ideally with a background in working with brands and retailers, to join our growing team. In this critical role, you will lead complex implementation projects for our largest clients while also driving the development and execution of change management strategies to ensure successful adoption of Toolio's platform.

Your primary focus will be on managing end-to-end implementation projects, ensuring they are delivered on time, within scope, and on budget. Alongside this, you will play a key role in developing and implementing change management initiatives that support smooth transitions and maximize value realization for our clients.

This position requires a strong background in project management, complemented by expertise in change management. You will be responsible for creating comprehensive project plans, managing resources, mitigating risks, and coordinating cross-functional teams. Additionally, you will develop change management frameworks, create tailored materials, and guide clients through the organizational changes required for successful Toolio adoption.

You will work closely with our Customer Success and Sales teams to integrate project and change management best practices throughout the customer lifecycle. This role offers an exciting opportunity to shape the future of retail operations while building world-class project and change management capabilities in a fast-growing startup.

In This Role, You Will

  • Project Management (60%):
    • Lead end-to-end implementation projects for our largest and most complex clients
    • Develop and maintain comprehensive project plans, timelines, and updates
    • Manage project resources, including internal teams and client stakeholders
    • Identify and mitigate project risks, ensuring successful delivery
    • Facilitate key project meetings, including kickoffs, data/onboarding planning, status updates, and leadership reviews
    • Develop and maintain project documentation, including status reports and change requests
    • Continuously improve project management methodologies and best practices
  • Change Management (40%):
    • Develop and implement change management strategies to support project success
    • Create change management materials, including communication plans and training programs
    • Lead change management workshops and training sessions with client teams
    • Collaborate with Customer Success to integrate change management into the overall customer journey
    • Refine and improve change management methodologies based on project outcomes
Requirements

  • 5+ years of experience in project management, with a strong focus on technology implementations
  • 3+ years of experience in organizational change management
  • Proven track record of managing large-scale, complex projects in enterprise environments
  • Strong understanding of both project management and change management methodologies
  • Experience developing project plans, risk management strategies, and change management programs
  • Excellent facilitation skills, with the ability to lead workshops and meetings at all levels of an organization
  • Strong analytical skills to assess project health, organizational readiness, and change adoption
  • Superior communication and interpersonal skills, with the ability to influence at the executive level
  • Project management certification (PMP, PRINCE2) required; change management certification (CCMP, Prosci) preferred
  • Experience in retail planning, buying, or merchandising sectors a significant plus

What the Day-to-Day Will Look Like

First Week

  • Immerse yourself in Toolio's current project management and implementation processes
  • Review ongoing client projects and change management practices
  • Meet with key stakeholders to understand pain points and opportunities in our project and change management approaches
  • Begin mapping out improvements to our project management framework

First Month

  • Take ownership of 1-2 ongoing client implementation projects
  • Develop an initial draft of enhanced project management and change management methodologies
  • Start working with a key client to implement new project and change management strategies
  • Collaborate with Customer Success to integrate project and change management principles into their workflows
  • Begin creating standardized project artifacts and change management materials

First 6 Months

  • Successfully manage and deliver multiple large-scale implementation projects
  • Launch improved project management and change management programs, including methodologies, tools, and training materials
  • Demonstrate measurable improvements in project delivery efficiency and client adoption rates
  • Establish KPIs for project and change management success and begin tracking across all major implementations
  • Conduct training sessions for internal teams on the new project and change management approaches
  • Refine the programs based on feedback and results, creating a second iteration of the methodologies
  • Partner with Sales to incorporate project and change management expertise into our value proposition and sales process

Toolio was founded in 2019 by Eytan Daniyalzade and Berk Atikoglu, serial entrepreneurs who have worked together for more than 10 years. Their previous company, Stylr, was acquired by Walmart Labs in 2014. While at Walmart they got to see that the tools used by planners and merchants were years behind the technology they had built for consumers.
