SUMMARY:
Serving as administrative support to project managers and meeting the needs of assigned projects and clients. Performing general duties including data entry, record maintenance, and other project-related tasks. Also covers general accounting duties such as project set-up, billing, invoicing, and collections.

ESSENTIAL JOB FUNCTIONS AND DUTIES:
Utilizing a variety of applications to monitor and update each stage of multiple projects with information such as work orders, time charged to projects, proposal numbers, invoices, lab data, and other documents.
Set up and efficiently execute monthly billing for several project managers.
Accurately set up and maintain project files and documents according to company policies and procedures.
Collect, process, and deposit client payments and apply them to the appropriate invoice.
Effectively communicate with the client to ensure that billing needs are being met.
Actively communicate with and follow directions of both the accounting manager and the assigned project manager.
Complete collection calls to clients that have not submitted payments or have any outstanding balances after billing has been completed.
Regularly access and provide information to clients regarding insurance certificates, business licensing, and other related documentation
Assist in the preparation of final reports including data entry, binding and assembling reports, and delivery of reports in accordance with project deadlines.
Use basic mathematical and accounting functions to ensure accuracy when entering data.
EDUCATION/EXPERIENCE:
High School Diploma or equivalent; 1+ year in a similar administrative capacity is highly preferred
QUALIFICATIONS (KNOWLEDGE/SKILLS/ABILITIES):
Good typing skills, attention to detail, and accurate data-entry abilities
Knowledge and ability to use computer applications and other office equipment
Intermediate knowledge of Microsoft Word, Excel, Outlook, Nitro, and basic mathematical applications
Ability to communicate verbally and in writing and follow directions
Ability to work independently and handle multiple tasks in an organized manner
Ability to work with and maintain confidential information
CERTIFICATIONS/LICENSE
No Required certifications or licenses.
PHYSICAL DEMANDS/ WORK ENVIRONMENT:
Performing general physical activities related to the workplace such as talking, hearing, and seeing, especially where one must frequently convey detailed or important information quickly and accurately. Average hearing and conversational skills and the ability to properly receive information. Finger dexterity- the position uses repetitive movements of the wrists, fingers, and hands. Average visual abilities that allow one to inspect and prepare documents, manipulate tools, and operate office machinery. The position is highly sedentary and largely includes sitting, with occasional standing, walking, and bending over. May exert up to 10lbs occasionally
