About Our Opportunity

We are seeking a Project Coordinator to work in the Philadelphia Corporate office. The Project Coordinator will work hand-in-hand with the Creative, Sales, Product Development, Purchasing and Production Teams to coordinate and administer current and incoming projects. This position will also be responsible for coordinating all creative deliverables from design and development through execution.

Responsibilities

  • Supports Creative Department in the completion of all projects to ensure they are completed accurately and on time
  • Works closely with the Senior Manager – Creative Operations to understand each project’s scope and identifies any conflicts, risks and/or open questions by performing frequent and thorough evaluations of project status
  • Facilitates the routing of all projects to the appropriate department, communicating cross-departmentally with Product Development, Licensing, QA, E-Commerce, Sales, Purchasing, and Legal as needed to ensure that all questions are answered and products are approved in a timely manner
  • Confirms each project is successfully moving through the pipeline, apply independent problem-solving skills where necessary, and escalates any delays to the Senior Manager – Creative Operations
  • Facilitates cross-communication between departmental teams on dependencies, such as artwork approvals, product changes and/or sample status to keep projects on track
  • Requests, organizes and maintains samples for photography, pre-production review, and production samples for historical reference
  • Assists the photography team in preparation for in-studio and location shoots. Helps in the creation of photography mock up, photo prop orders and packing for on-location photo shoots; ensures that all items are delivered on time and that all items are present and accounted for.
  • Maintains Teamwork documents and tasks to ensure all team members are up to date on changes and/or new requests
  • Performs administrative tasks as needed, such as logging new art purchases, creating expense reports, scheduling meetings and organizing storage space
  • Perform other related duties as required and assigned.

Qualifications

  • Must be extremely organized
  • Strong verbal and written communication skills
  • Some understanding of creative processes, including creative production, is a plus
  • Must have a high level of comfort working in a fast-paced and deadline-driven culture
  • Ability to thrive in a fast-paced environment
  • High school diploma or its equivalent required; Bachelor's degree in a related field preferred.
  • 1-2 years of experience coordinating projects/teams and/or performing planning-related duties required.
  • Any equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities.
