Receives callers at establishment, determines natures of business, and directs callers to destination by performing the following duties.
Essential Duties And Responsibilities
- Operates telephone console to receive incoming messages and directs caller to destination in a pleasant and professional manner. Answers calls efficiently; answers client inquiries, as needed, or directs the inquiry to the person best able to answer request; and/or transfers calls to staff or to voice mail when staff are out of the office.
- Greets and directs public in a pleasant and professional manner.
- Collects and distributes all incoming mail and messages.
Opens all incoming mail; separates checks as soon as possible & calls the required staff member to pickup; separates mail between departments, Calls required staff member for pickup, Assists in stamping and sorting of mail.
- Assists in Federal Express package pickup requests. Also, keeps the agency copy of packing requests & gives to Accounting Dept.
- Keeps daily log of when employees are of the office.
- Prepares Policy Books, ID Cards and other printing duties.
- Maintains a neat and tidy reception area.
- Performs a variety of clerical duties.
- Data entry when needed.
- Additional projects when needed.
Assists Departments in the following duties:
- Processes, distributes small & large commercial mail & all other mail
- Assists with paper jams, refilling ink toners, postage mail machine jams, ink replacement
- Frontend scan all depts. Mail, distributes mail
- Prepares outgoing mail-stamp per dept codes & gets it ready for mail pick-up at approx 4:30 pm when working reception
- Maintains ample postage in the postage machine
- Return Certificates for Bad Addresses in both Applied and CSR24
- CBD Scanning – Front end and Back end for all depts.
- CBD verify all folders scanned – 2 documents from each folder
- All Depts. Recoding
- Accounting- carrier updates along with Anne
- Prints out Select Commercial questionnaires monthly, and annually for each AE as well as monthly Service Center letters
- Stuffs and mails Select Commercial questionnaires and letters
- Backend scan commercial files & files away when finished
This job has no supervisory responsibilities

Education And/or Experience
High school diploma or general education degree (GED) and minimum one year related experience preferred.
