ROLE

We are seeking an experienced Receptionist to support the United States Attorney’s Office (USAO) Eastern District of Pennsylvania. Your scope of work focuses on providing comprehensive reception support and general clerical services, ensuring efficient management of front desk operations and administrative tasks.

Responsibilities

  • Provide receptionist duties at the front desk
  • Receive visitors and telephone callers
  • Maintain visitor badges
  • Furnish requested information concerning matters and cases, functions, and general procedures of the office
  • Determine which calls and visitors should be referred to Assistant United States Attorneys (AUSAs) and support staff
  • Respond to inquiries, providing general information regarding office programs
  • Advise caller/visitor to contact the appropriate federal, state, or local agencies for matters outside the USAO's purview
  • Furnish the needed address and/or telephone number when available
  • Maintain directories, office personnel lists, guides, and references to provide a variety of information on inquiries
  • Receive, review, and distribute incoming mail, including service of legal process
  • Maintain miscellaneous files so that correspondence research can be made for unfamiliar material received
  • Check mail and annotate accordingly (e.g., date stamp, attorney assigned, case number, etc.)
  • Ensure mail received is appropriately screened and distributed timely
  • Notify staff when material is received via special shipment (e.g., Federal Express, UPS, etc.) or fax transmission
  • Place special shipment or fax transmission material in the appropriate internal mailbox
  • Provide courier services to the federal courthouse and federal building (i.e., file, deliver, or retrieve legal documents)
  • Provide general copying and faxing services
  • Assist the office with large case-related mailings by photocopying, stuffing, sealing, and postage-metering envelopes

Knowledge & Skills

  • Ability to type 40 WPM or more
  • Knowledge of general office processes, procedures, and practices
  • Knowledge of Microsoft Office software programs (e.g., Word, PowerPoint, Excel, Outlook, etc.)
  • Knowledge of WordPerfect Office Suite (e.g., WordPerfect, Quattro Pro, Presentations, etc.)
  • Knowledge of automated document processing equipment (e.g., photocopiers, printers, scanners, binding machines, etc.)
  • Proficient in operating a computer terminal, PC, and word processor
  • Strong communication and organizational skills

BACKGROUND

  • 2 years of relevant and progressive experience in reception and or clerical support

EDUCATION

  • Highschool diploma or equivalent required
  • Bachelor’s degree preferred

  • U.S. citizenship required as it supports the U.S. federal government

    Other Considerations. Applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
