Position Responsibility

Reporting to the Human Resources Manager, the Recruiting Assistant provides a strong level of administrative support with the full cycle of recruiting. The Recruiting Assistant will be working very closely with the recruiter on a daily basis and will provide support with screenings and interviews, assist with reference checks, provide support at orientation, onboard new hires in HRIS system (ADP), create new hire file and to serve as the primary back up for the Human Resources Administrative Assistant.

Essential Functions: (Core duties or tasks that are fundamental, and not marginal to the performance of the job)

  • Provide all aspects of administrative support to the HR Department, with a focus on Recruiting support.
  • Assist in screenings & interview scheduling with hiring managers and interview teams for both internal and external applicants, when necessary.
  • Responsible for onboarding new employees on ADP, scheduling CORI, orientation, preparing new hire personnel file.
  • Responsible for recruitment tasks such as initiating and onboarding new employees on ADP, assisting recruiter with internal communications, internal job postings & assisting with references.
  • Responsible for processing & maintaining all internal forms and HR notifications associated with each vacancy.
  • Coordinate and present twice-monthly at New Employee Orientation, serving as the program point-person for the agency and within HR. Responsible for the smooth operation of the program, including collaboration with presenters, IT, hiring managers, and facilities and management of the Orientation agenda.
  • Perform all duties related to set up of personnel files; Provide customer service to all employees, problem solving and addressing questions and concerns.
  • Serve as primary back up to the Human Resources Administrative Assistant.
  • Other duties as assigned.

Qualifications

  • Associate degree required.
  • 1-3 years of Human Resources administrative assistant experience and/or recruiting support experience strongly recommended.
  • Must have experience with Microsoft Tools (Word, Excel, etc.)
  • Must have proficiency in databases & reporting (i.e., ADP & Applicant Tracking System)
  • Demonstrates ability to handle sensitive and confidential HR/payroll matters with discretion and good judgment at all times.
  • Successful candidate will be detailed oriented and focused on excellent service to all colleagues with a general excellence in administrative, interpersonal, organizational, and computer skills.
  • Bilingual in Spanish a plus.

Hours: 37.5hrs
