Retail Account Sales Coordinator

Location: Storm Creek Corporate Office, Eagan Reports To: Customer Service Manager

As a Retail Sales Coordinator, you will support our retail channel sales team and all retail/resort accounts. Your meticulous attention to detail will ensure smooth operations, enabling our sales team to focus on building strong customer relationships.

Summary

The Retail Sales Coordinator is a key member of our Customer Experience Team, ensuring seamless operations behind the scenes. This role supports the sales team by handling order management, customer support, and coordination of apparel decoration processes. The ideal candidate is detail-oriented, proactive, and passionate about customer service.

Key Skills And Qualifications

  • Experience: 3-5+ years of related work experience, including 2+ years coordinating simultaneous customer projects.
  • Organization: Highly organized with exceptional attention to detail, capable of managing multiple projects and tasks simultaneously in a timely manner.
  • Customer Service: Passionate about providing outstanding customer service and building strong customer relationships.
  • Communication: Strong verbal and written communication skills; able to effectively communicate with customers, sales reps, and vendors.
  • Technical Proficiency: Proficient with Microsoft Office Suite and familiar with ERP and CRM software; quick to learn new order entry systems.
  • Industry Knowledge: Knowledge of decorating processes (embroidery and heat transfer) and experience in the wholesale apparel industry is a plus.
  • Problem-Solving: A proactive problem solver with a desire to troubleshoot and resolve issues.
  • Team Player: Collaborative with a team-first mentality; flexible and able to pivot priorities quickly.
  • Energy and Enthusiasm: Self-starter with high energy and a positive, can-do attitude; thrives in a fast-paced, growing business environment.

Key Responsibilities

Customer Support:

  • Service Excellence: Provide exceptional service for all sales activities within a designated territory.
  • Collaboration: Work with inside and outside sales reps to deliver top-notch service.
  • Communication: Effectively communicate with customers via phone, live chat, and email.
  • Onboarding: Ensure a smooth onboarding experience for new customers.
  • Relationship Building: Develop and maintain strong customer relationships.
  • Order Management: Handle sales rep requests for samples, marketing materials, and other assistance; use the ERP system to manage and facilitate order information; monitor and ensure open orders meet customer needs daily.

Decoration Management

  • Vendor Relationships: Build strong relationships with approved decorators and collaborate with their Account Managers.
  • Order Oversight: Oversee decoration orders from PO to delivery, maintaining accurate records.
  • Scheduling: Prioritize and schedule decoration orders effectively.
  • Quality Control: Review decoration components and obtain customer/sales representative approval; create and send proofs to customers for approval.

Administrative Support

  • Reception: Serve as the primary receptionist for inbound calls; responding within 24 hours.
  • Inquiry Handling: Manage website and live chat inquiries; oversee general customer service email inboxes.
  • Data Management: Maintain and update customer and account data in the CRM and ERP systems.

Special Projects

  • Trade Shows: Assist in preparation for seasonal trade shows or virtual presentations.
  • Miscellaneous: Participate in special projects (mailings, warehouse sale preparations, etc.); provide general administrative assistance to company owners.
