Overview Of Senior Administrative And Facilities Manager

We are seeking an experienced manager to oversee and manage our administrative and facilities operations across L.E.K. US offices. The ideal candidate will be highly organized, detail-oriented, able to operate independently with confidence and capable of handling multiple responsibilities in a fast-paced environment.

This dual role involves overseeing an administrative staff of ~30 executive assistants across multiple offices, overseeing on-site projects such as office moves, construction, and may include some level of direct EA support (e.g., one partner) etc.

Depending upon the candidate’s background and interests, there will be a portion of the role which is aligned to broader project related work in support of our functional operating areas (e.g., event planning, real estate negotiations, etc.).

Primary Responsibilities Include

  • Talent attraction, development and retention:
    • Partner with recruiting to source and hire administrative team members
    • Manage administrative team members, focusing on training and development opportunities for the region.
    • Organize and coordinate reviews for the administrative team
    • Ensure we are purposeful and thoughtful in terms of career paths, development opportunities and talent trajectory
  • Ongoing operations
    • Work with regional assistant team leaders to ensure we maintain coverage for the region – making sure staff are in the office, constituents are supported well, sick and vacation time are covered, etc.
    • Serve as a liaison between administrative staff and management, facilitating communication and addressing concerns.
    • Support and help to manage office / facilities related projects, e.g., office moves, construction, ad-hoc activities (this will likely require travel if/when necessary)
    • The ability to work well under tight deadlines and respond to rapidly changing demands
    • Develop and implement policies and procedures to ensure smooth operations and compliance with company standards
    • Identify opportunities for process improvement and implement solutions to enhance efficiency and productivity.
    • Potentially provide administrative support to dedicated partner, e.g., travel, meetings, etc.
Requirements

  • 10 + years of administrative experience supporting senior executives with proven track record of experience in a fast-paced, dynamic environment.
  • Proven experience in an administrative management role, preferably in a professional services environment.
  • Experience having lead diverse, remote teams with track record of talent development
  • Excellent communication skills, both oral and written
  • Interest and ability to work independently and be self-directed.
  • Strong organizational skills, attention to detail and ability to balance multiple projects concurrently
  • Highly flexible team player with demonstrated professional maturity to readily prioritize and anticipate needs.
  • Strong leadership and interpersonal skills, with the ability to motivate and manage a team effectively.
  • Excellent organizational and time management abilities, with a keen attention to detail.
  • Travel to other office once per quarter or when needed.
  • Highly proficient technical skills including Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint, etc.), knowledge of Concur beneficial
  • Bachelor's degree in business administration, management, or a related field.

  • In New York and California the base salary is between $125,000 - $175,000 (USD); placement within this range will vary based on experience and skill level. L.E.K. also offers a performance bonus, profit sharing and other benefits.
