Description
Are you an experienced administrative professional seeking a new remote career opportunity? We are looking for local candidates from the Virginia/DC Metro area to join our team as a Contracting Assistant. In this role, you will provide essential research, reporting, analysis, administrative support, and customer service to both internal staff and external clients.
Responsibilities
Contract Administration:
- Assist in the preparation of contract renewals, addendums, and RFPs for hotels related to various events.
- Review and update contract templates for different events and years.
- Collect data and follow up with hotels on the status of addendums and RFPs.
- Maintain and update contract folders, ensuring final PDFs are saved in the Completed File for each hotel.
- Update the Hotel Rebate Grid upon contract completion.
- Update spreadsheets and documents for reporting purposes as needed.
- Enter reminders into Outlook for follow-ups on rates and contract updates before events.
- Assist with contract and rate updates for event entry and follow-up.
- Learn hotel contract paragraphs to master negotiation areas and important requirements.
- Support the Account Management team during peak seasons with administrative and customer service tasks for hotels, attendees, and staff as needed.
- Work with Account Directors on special projects as directed.
- Experience: Minimum of 5 years of administrative/customer service experience, with hotel sales administrative support being a plus.
- Skills: Strong administrative skills in an office/corporate environment, excellent written and verbal communication skills, and proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Independence: Ability to work independently while coordinating with other departments and team members.
- Multitasking: Strong multitasking skills and attention to detail.
- Customer Service: Proven customer service and strong interpersonal skills, with confidence and professionalism in working with clients, guests, and hotel contacts.
- Organization: Demonstrated strong organizational skills, efficiently managing tasks, prioritizing workload, and consistently meeting deadlines.
- Initiative: Resourceful, strives for quality results, and takes initiative.
- Remote Work: Ability to excel in a remote work environment while maintaining a professional, distraction-free setting.
- Attendance: Proven attendance record expected.
- Our office is located in Herndon, VA, where you will attend training and meetings. This position offers the ability to work from home in a professional office setting for routine tasks.
