Senior Executive Assistant
Sodexo has a new opening for a Senior Executive Assistant who will provide executive support to the Senior Vice President of Brand and Communication.
Candidates who have strong experience supporting senior level leaders with global interaction are encouraged to apply.
This is a remote role with the preferred candidate residing in either the Mountain, Central or Eastern Time Zone.
The Senior Executive Assistant will directly support the SVP, Brand and Comms and be a key member of the communications team. They are expected to perform a wide range of administrative duties as well as functional tasks as well as keep leader proactively informed and prepared for upcoming commitments and deliverables. The ideal candidate must be able to make recommendations based on understanding the organization, business, personnel and procedures and should excel in planning and implementation of tasks. It is critical that this individual help keep departmental asks streamlined and on-track based on the priorities of the executive.

Qualifications & Requirements
Basic Education Requirement - Associate's Degree or equivalent experience
Basic Functional Experience - 2 years

The successful candidate will:
- Oversee all administrative activities (e.g. including booking travel, vendor requests, arranging meetings, etc) and serve as contact person/ gate keeper between SVP Brand & Comms, the wider-team/manager’s direct reports, internal contacts, and external partners/clients. Serve as the liaison and bridge for smooth communication between department senior leaders nationally and globally. Partner with executives and senior administrative assistants to handle requests and make recommendations/decisions on calendars, actions, etc.
- Prepare and maintain various office reports to include creating spreadsheets, presentations and status reports as well as meeting agendas, minutes, etc. key example: Will be actively involved in creating communications wrap up reports and measurement summaries to be used with senior executives to relay value /success of functional work.
- Proactively manage department budget and keep SVP apprised of incoming functional costs / requested budgetary activities while working with key senior leaders to track spend and adjust costs as needed; includes assisting with contract negotiations and finalization, and may require working cross-functionally with procurement, finance, and other internal groups as well as external vendors
- Handle day-to-day management of personnel and executive team dynamics to allow the SVP, Brand and Comms to focus on strategic activities and executive duties that help grow the business, raise awareness of the corporate brand, and improve company reputation.
- Handle intricate diary management across various time zones and countries, with ability to make decisions, manage adjustments and time sensitive changes.
- Assist with publishing of company stories on company intranet, external website, and the submission / posting of press releases, coordination of video / photography shoots, etc. as needed.
- Serve as a key contributor to any company conference that the communications team is responsible for leading (e.g. annual Senior Leadership Summit), including being on-site to assist with various logistical duties as required.
- Prepare reports, email correspondence, letters, forms on behalf of SVP Brand & Comms as well as assist in developing presentations, reading, and researching information to executive is well prepared.
- Help create processes and implement tools that improve team reporting, storage of documents / multi-media content, and more.
- Manage expense reporting and other required business reporting.
- Must be extremely detail oriented, organized, and able to safeguard information that is confidential.
- Coordinate, collaborate on agendas, and join staff meetings and publish minutes/follow-up on actions
- Requires continuous use of technical and business vocabulary and detailed knowledge of company operations, organizational procedures and personnel.
- Associate's Degree (or higher is preferred)
- 5+ years of experience as an Executive Assistant
- Proficient in all MS Office products suite
- Experience with Internal Communication Software a plus
- Strong organizational skills with the ability to prioritize
- Ability to work effectively in a fast-paced environment
- Excellent level of written and verbal communication skills with internal and external audiences
- Motivated and adaptable to support the executive and team, ability to represent the office of the SVP, Brand and Comms
- Ability to anticipate needs, think critically and offer solutions to problems
