Job Description

Reporting to the Assistant Director of Finance, Senior Staff Accountant will assist and support daily operations of the Finance Department.

Overview

The Senior Staff Accountant is responsible for overseeing the accuracy and integrity of financial processes within the organization. This role involves auditing daily income reports, maintaining precise accounts receivable and payable records, and implementing best practices in credit management. The Senior Staff Accountant ensures that accounting systems and controls provide reliable data for all necessary reports and statements.

Areas of Focus

Accounts Receivable/Credit

  • Serve as the primary liaison for HOA Owners, managing HOA Quarterly Dues, assessments, invoices, and payments in alignment with the Annual Policy Statement.
  • Process all Owner delinquency statements following Annual Policy Statement and Local /State Regulations
  • Process all third-party billing on a timely basis
  • Prepare and process checks/wires for payments upon receipt.
  • Support the ALL-Loyalty Program by reviewing monthly billing and exemption reports in adherence to corporate deadlines.

Accounts Payable

  • Oversee the full accounts payable cycle, including vendor onboarding, relationship management, invoice processing, and vendor payments.
  • Verify purchase orders and manage GRNI (Goods Received Not Invoiced) accruals.
  • Ensure timely processing of all third-party billing.

Financial Reports

  • Audit daily revenue reports to ensure accuracy and completeness
  • Assist in creating journal entries, preparing monthly schedules, and compiling financial reports.
  • Support departmental teams with the interpretation, orientation, training, and analysis of accounting matters.

Other Duties

  • Lead monthly credit meetings, develop action plans, and present reports to the property management team.
  • Supervise and mentor the Administrative Assistant within the Finance Department, providing coaching and development as necessary.
  • Oversee property utility purchases to align with the company’s environmental awareness goals.
  • Manage all Loyalty Program financial matters, collaborating with the Property Loyalty Champion.
  • Adhere to departmental policies, procedures, and service standards, including safety, PCI Compliance, GDPR, and Data Protection policies.
  • Perform other duties as assigned.

  • Handle sensitive information with the utmost confidentiality and discretion.
  • Demonstrate a high level of professionalism in all interactions, both internal and external.

Compensation

Salary - $80,000 to $85,000

Qualifications

  • Working Knowledge of Hotel/Residential Accounting is required
  • Hotel and/or residential accounting and customer service-related experience preferred
  • Property Management System and credit card processing and reconciliation required
  • Understanding of Full Cycle Accounts Payable processes is required
  • Participation in journal entry creation and other month end tasks
  • Computer literate in Microsoft Window applications required
  • University/College degree in a related discipline an asset
  • Must possess a professional presentation, outstanding guest services skills, and sophisticated verbal & written communication skills
  • Strong interpersonal, problem solving, self-learning abilities
  • Highly detail oriented, reliable, and pro-active
  • Ability to work nights, holidays and weekends as needed
  • Ability to be calm, focused, and adaptable while working under pressure in a fast-paced environment
  • Ability to work cohesively as part of a team as well as take ownership of own duties and projects
  • Physical Aspects of Position (include but are not limited to): Frequent standing and walking throughout shift, Occasional kneeling, pushing, pulling, lifting, ascending or descending ladders, stairs and ramps.
