Base pay range

$57,000.00/yr - $62,000.00/yr

SUMMARY:

Supervise School staff and oversee daily operations for Phelps Center (Seattle) and manage events and performances


Staffing Duties and Responsibilities

  • Learn and maintain full understanding for both Seattle and Bellevue School front office responsibilities
  • Supervise School Administrative Assistants, Assistant Registrar FRC Coordinator, Front Desk Receptionist and Conditioning Coordinator.
  • Create School staff schedules, including scheduling admin hours for Conditioning Department and Phelps Center main lobby front desk, and oversee time off requests
  • Monitor and approve School staff and faculty time sheets (biweekly)
  • Assist with interviewing / hiring of School administrative staff
  • Be on-call weeknights / week-ends for any staff issues and fill in when needed
  • Maintain School databases, along with School Registrars
  • Perform additional duties and responsibilities as assigned.


Student and Parent Communication

  • Oversee and monitor all communication with parents and students, as approved by Managing Director
  • Along with Managing Director, address student and parent issues/complaints in accordance to PNB School guidelines
  • Maintain school communication systems send reminders, school breaks, schedule changes, etc.
  • Organize Watch Days and distribute communication information with Faculty regarding topics for discussion with parents
  • Organize student conferences with School Principal, and be present at student conferences when needed
  • Monitor student accident insurance forms and claims with managing Director
  • Oversee Open Class student issues and monitor compliance with policy
  • Act as liaison between School and Parents' Guardian Association and oversee merchandise


Events and Student Performances

  • Organize Petite Finales and School Performance with PNB School Principals
  • Create Petite Finale performance and rehearsal schedules with Children's Division Coordinator Communicate with Faculty regarding props, assistants, hair accessories, etc. for Petite Finale and costumes for School Performance

Communicate and assist Parents' Guardian Association PGA organize the Petite Finale receptions both locations for both Petite Finale


Accounting Responsibilities

  • Oversee Registrar tuition payments / billing for students
  • Assist with tuition and Open Class payment processing when needed
  • Monitor petty cash and cash controls


Administer Annual and Summer School Registrations

  • Work with Managing Director and Assistant to create registration materials, including promotion letter, schedules, dress code, handbook, etc., for communication with parents and students
  • Oversee current enrollment list, attendance sheets and all student files for both school locations
  • Oversee registration
  • Assist with conducting School year and Summer auditions, including organizing materials needed for auditions
  • Track all materials for school including Website
  • Oversee Registrar
  • Work with Marketing Team on promoting the school


QUALIFICATIONS

Education and Experience:

  • 2-4 years experience in school administration, operations or office management
  • Experience managing and scheduling staff of 9+ employees
  • Able to prioritize and manage several projects simultaneously and work in a fast-paced environment
  • Ability to travel between school locations (Seattle – Bellevue)
  • Proficiencies in MS Office,
  • Able to carry out duties in a timely manner, with a positive attitude
  • Ability so successfully interact with a diverse blend of personalities and people
  • Good organizational skills
  • Able to work independently and as part of a team
  • Able to maintain diplomacy under pressure and maintain a sense of humor
  • Knowledge of basic accounting principles preferred
  • Knowledge of ballet a strong plus


Language Skills: Ability to communicate effectively, both verbally and in writing.


**Other Requirements: Ability to work a varied work schedule including Saturdays and some evenings
