The Challenge of Sourcing Maintenance Spares: A Frustrating Experience I wanted to share a recent experience that left me puzzled and somewhat frustrated, and I’m curious to hear your thoughts. A few days ago, I received an enquiry from a customer for an electric wire safety product. As a company specializing in complete maintenance spares and product services, I immediately started searching for distributors. Despite finding only a few contacts online, I reached out to the company directly and was told they only sell through distributors, suggesting I should provide the end-user information to get connected with the appropriate distributor. This led me to contact 2-3 distributors, hoping to get competitive quotations. To my surprise, the responses were quite disappointing: 1. One distributor provided a quotation. 2. Others informed me that their company policy restricted them from operating outside specific areas 3. Some refused to quote because they noticed I had already enquired with other distributors. I understand the company's intention to balance distributor business by allocating specific areas, but this practice raises some critical concerns: Customer Pricing: If the local distributor’s prices are high, customers can't negotiate or seek better rates from other areas. Lack of Competition: This practice eliminates the possibility of comparing quotations, which is a fundamental part of any procurement process. As we work mostly in the maintenance sector, it is crucial to get products at a good price and in a timely manner for all manufacturing companies who are our customers. Ensuring we get the best price and value for our customers is paramount. Not being able to compare quotations from multiple distributors seems counterproductive and somewhat restrictive. Negotiating Safety Materials – From "Uh-Oh" to "Aha!" So, I had this one negotiation with a supplier, let’s call them "Justsafety ltd." We were discussing safety materials—gloves, helmets, the usual things- I must admit, things started off a bit shaky. Their prices were just too high for a bulk order of hard hats. Now, safety is a priority for me, but the sum was just a bit much! So at first, I was like, “Well, this isn’t going to end well.” But instead of jumping straight into a “No, thank you!” I took a step back and started asking the right questions. Turned out, their pricing was based on “premium” materials that didn’t even match our needs. After some back-and-forth, we were able to strike a deal, where we got the right quality/make at a better price. Lesson learned: Sometimes, a little patience, a few well-placed questions, and a willingness to dig deeper turns an "Uh-oh" into an "Aha!" moment. #Procurement #Negotiation #SafetyMaterials #LessonsLearned #WinningTogether
