My colleague Dennis was FURIOUS about this… We love working as efficiently as possible, but results are number 1 priority. We often try out tools, scripts and other automations to streamline processes, but we are always critical when it comes to those outcomes versus our own. For example, we gave this tool a try. We saw the worst recommendations possible. (see image) 👉 We got 3 recommendations for keywords from a product that we’re not advertising 👉 We got 2 recommendations for a keyword including ‘review’, which is just silly …🤦 So the question is: Do you use tools, scripts or automations that you would recommend? PROCESS MAPPING RECAP: 5 OF 6 Looking for a way to better identify time windows in operations – or back-office processes such as a monthly closing cycle? Mapping processes by the hour (or minutes/seconds) is a way to visualize time while still being able to see work functions and responsibilities. WHY MAP A PROCESS BY THE HOUR? 🔷 To delineate when work is happening and when it is not happening. 🔷 To identify opportunities to engage teams. 🔷 To capture the extent of how much work is automated, partly automated, or manual. 🔷 To identify time windows to run automation. TIPS FOR MAPPING A PROCESS BY THE HOUR ➡️ Use Excel ... it’s easy to set up and easy to move columns and rows. ➡️ Mark the start of a process, step through to the end in regular working hours – and keep a 24-hour clock. ➡️ Consider color coding all activities to identify the level of automation in each step. ➡️ Use a D-/+ to designate generic stop/start times. Example: If a monthly “close” starts on the 3rd business day of month, it is a D0. Any work before the date is a D-number and any work after the date is a D+number. ➡️ Capture process steps in the appropriate horizontal swim lane (that designates the role performing the step).
