So, you’re about to dive into creating a trade show booth? Before you go full send, make sure you don’t make these rookie mistakes:
Winging it without a plan – "We'll figure it out as we go" sounds adventurous, but it’s also a fast track to not being on your best when the show starts.
Champagne taste with a beer budget – It’s totally fine to dream big on a budget, but let’s talk about that upfront!
Brand amnesia – If your booth doesn’t scream YOU, you’re doing it wrong. Don’t let visitors wonder who the heck you are.
Forgetting about logistics – Just because your booth looks beautiful on a computer doesn’t mean it magically shows up on-site and ready to go.
Procrastinating like a pro – The show might be three months away, but trust us—you’re already behind.

AIRSHOW COORDINATORS-
We prioritize commitments in this order:
1- Financial commitment with contract, i.e down-payment, some sort of collateral, etc
2- Written Agreement in writing stating the date a down-payment is to be received on or before a mutually agred upon date.
3- verbal conversation (these we hold as a grain of salt until one of the above 2 happens)
We take everything as first come, first served. Thats only fair for every show. All shows are a risk for the parties involved (weather, maintenance, funding, etc.) Its easy to say you're having a show vs actually putting one on. Since scheduling is very time sensitive, there must be a financial commitment for security of both performer and producer.
For 2025 we have:

"A Lot of work went in-house"
When you say "moved in house" I hear two things
One, clients have robust internal production teams, both on the event production / internal agency side, and on the video/tech side.
Two, hotel in-house AV drives a hard bargain - in house AV companies like Encore, AVMS, Marky's, etc have internal directives to capture as much as 80% of shows that come through the door, and they are playing hardball to get it.
To me this means the way to win, as an outside producer, and outside AV provider is - don't fight the in-house. They have leverage we'll never have on the outside, and they will use it against us if we are a threat. The answer? Don't be a threat. Stop fighting in houe and internal teams for the whole pie. Make the pie bigger. Convince internal producers that you're both a team player an an essential extension of their internal team, that lets them scale up and down with the seasons. Let the in-house AV have the parts of the show that make them money, and take on the parts of the show that they never wanted in the first place. If you show them that you understand where their margin lies, and you take on the parts of the show that are a risk, you prove that you're a trusted intermediary between them and your mutual client.
I was on property at a swanky beach hotel, and the in-house AV manager was talking to a new consultant - he gestured to me, an outside technical producer, and told the consultant "we want more relationships like this" - where the client brings in their trusted expert as an intermediary, and helps both sides navigate the sale.
There's room for all of us to win. You just have to be a team player.
