Planning an event in a new place? My #1 tip: Contact the local tourism organization in the city or cities you are interested in and start making connections. Consider them your secret agents! They know their City inside and out - the hotels, the venues, and the hidden gems. Prior to contacting them, prepare a Request for Proposal (RFP) to help them understand what you are looking for. The RFP will allow them to determine which venues to send your RFP to based on your requirements. Here are a few things you should include in your RFP: ✅ Company name ✅ Contact name and info ✅ Meeting name and preferred dates (also include alternative dates) ✅ Preferred site visit dates (if you plan to make one - which I highly recommend) ✅ Paragraph about who your company is and who your customers are ✅ Purpose of the RFP - what are the top five things that are important to you when picking your location? (close to airport, suites at hotel, etc) ✅ Event profile - estimated number of attendees and estimated number of lodging rooms ✅ Meeting space needs ✅ Nice to have options (ie: meeting rooms with windows, patio for outdoor event) ✅ Offsite space needs (if applicable) Bonus perk: once you commit to hosting your event in their City, their support doesn't end.
