Tuesday Tips: 📣 📣 Sometimes.. I am asked to help with an event that’s primarily meeting space only. Example: a conference for 300 people with a room block of only 5-10 rooms. This type of event usually get a lot of turn downs because of the room to space ratio AKA the event is considered “unbalanced”. A challenge to get a hotel venue especially in a high season. If you have a program such as the above and want a hotel venue, consider this. 1. Be flexible with your dates 2. Ask the hotel(s)what dates are citywide events happening, and make sure that hotel is not the host/headquarter hotel for the citywide, (the convention center meeting space is used for CWs and the HQ hotel) 3. Book your program over a citywide date Value 1. You fill a HUGE void the hotel has 2. Likely to negotiate the meeting rental fee better 😉 3. Your small room block could also be offered too 4. One way meeting and event planners can increase hotel responses to RFPs and increase your event bookings… Leverage more of your group event’s value. It’s all about supply and demand. And knowing hotels are looking to maximize their event space and group revenue—which play a factor in booking timeframes—they end up spending more time and effort on the bookings that offer more value. So how can planners increase their program’s value? Share more information. If your attendee count is on the smaller side and you’re looking to book several months in advance, don’t provide your bare minimum F&B spend. Consider increasing your program’s minimum F&B spend, especially if your event exceeds typical numbers. By giving more on F&B that hotels can count as guaranteed revenue, you increase the overall value of your event…which gives hoteliers a greater reason to work with you. That means more responses to your RFPs. Plus, hotels will be more likely to work with you on booking timeframes and other concessions. Because now, your event is valued much more than originally thought based on the size alone.
