🎪 Event season is around the corner (and seems earlier this year!) Having exhibited at a fair few events with a few different companies now, it's the same case: * Great exposure (IF planned correctly, big if...) * Valuable lessons learned on the regional market * Fun 🤷♂️ (the accounting vendor space is an entertaining one at the very least...) But EXPENSIVE 🤑 Black and white, clear ROI is hard to achieve (remember that 'if'?). There are more subtle and nuanced wins that can be taken which, even then, all hinge on clear aims, call to actions, and event-specific planning. I've always wondered though, for those attending and not exhibiting, how is your ROI realised? 👀 A day or two out of the office (in an industry which still has a per hour rate to hand...) for multiple team members, hotels, travel etc... isn't recouped in new business so where are the wins? I'm sure if you tried, you could get your money's worth in free swag with a new tote bag for every day of the week and your body weight in pens but what's the real value you're trying to leave with (aside from seeing your favourite vendors 😁 )?

Event organizers keep obsessing over the registration numbers, and are constantly haunted by either of the two nightmares: 1. No one will sign up and come to the event 💔 2. There will be too many signups and a 100% show up rate, and there won't be enough seats and food 🤯 I can definitely relate. Especially, when hosting the event for the very first time. However, if you are running a repeat event series, you have simple way to ease your anxiety! Data. All you need is to keep track of key data points for each of your events to create simple forecasts for your registration and show-up rates. I know exactly when we are on track / behind / ahead of our registration curve thanks to keeping registration numbers WoW for the past 6 FLOWs (we are ahead of the curve for the upcoming one in LA!). I know exactly where we need to be in 4 weeks as well - thanks to analyzing the growth rate and recognizing the patterns. Same for the show-up rate: based on all the data, I know that our range is 65%-75% with European events being on the higher side vs the US ones. Then also comes the data for specific locations. This has allowed us to plan the catering and seating with minor differences thus reducing food waste and avoiding overcrowded venues (London was tight, and it took a lot of effort to safeguard the registration numbers from "can we add just these two more guests please". It's nothing groundbreaking. Just a spreadsheet and weekly check-ins. But it saves a lot of headaches and allows you to make informed decisions. P.S. Attached are my registration graphs WoW for the 6 events + 1 currently in progress. The odd short line is FLOW: London that was fully sold out 5 weeks into the promotion and 7 weeks before the actual date of the event 😅 #data #eventmarketing

Registration forms have 1 job. (events that don't understand, fail.) Registration. Not getting 1000 attendee data points. Not asking attendees 100 questions. Not getting attendee full ancestry. This is the key time to optimize for conversion. Nothing else. Then between payment and event, it's go time for: - Gathering info for attendee personalization - Helping with session selection and networking - Assisting in hotel booking, logistics, directions.... Get this right to get your event done right. Don't turn folks away before they are even in the door.
