I am a digital calendar kind of a gal! I do not carry a paper diary. I do not have a calendar on my desk, not even a filing cabinet in my office. 0’s & 1’s for me. All. The. Way. A gift to myself, purchased out of curiosity, has put a pencil in my hand every evening before work for the entire month of April. A BLOCK planner. It is not a calendar. I believe a calendar in your phone means you always have access to it, creating agility. However, a BLOCK planner has little to do with what you have to do at what time, and everything to do with planning your work in batches to maximize your productivity Review of P&Ls, income streams, business strategy planning. ALL that must be done when I’m fresh in the AM. When I need to switch into video call mode: that is in the afternoon. Social posting and article writing - you guessed it, all during one BLOCK in the evening when a relatively light-lifting task is welcome. And the night before, I know my strategy to get the most out of the following day. Sure, it doesn’t always go to plan. 🧩 My Planning Mishap The Calendly Adventure 🧩 Let me share a funny lesson in planning and scheduling from this past week! 🤷♀️ I finally decided to streamline my meeting bookings by using Calendly 🗓️ No more endless back-and-forth email tennis—I integrated my calendar, added automatic video links, and even included buffers before and after meetings for prep and admin. I felt like a planning genius! 😎 Then, I sent it out to prospects and clients, feeling very accomplished. 💪🏻 What happened next❓ Meetings started flooding in over the weekend. Most days in my calendar for the week was booked up. Although on Friday I’d even planned to squeeze in coffee with a friend. Well… I should have sent her my Calendly link too! 😂 Lessons learned 👇 1. Ask someone experienced with Calendly for advice before setting it up 🙏🏻 2. Set Boundaries for Your Availability – Offer specific time blocks to protect your personal and work time ⏰ 3. Use Automatic Reminders – Enable email or text reminders for both you and your clients 📨 4. Balance Buffers Wisely – Add extra buffers before and after meetings for prep, admin, and breaks ☕️ 5. Customise Meeting Types – Offer different meeting durations and clearly label each one for its purpose 🔠 6. Lately, I’ve developed a habit that’s transformed how I approach each day; writing down my daily and weekly routine or to-do-list. There’s something calming about putting pen to paper, it gives me a sense of clarity and direction. But as much as I love my notebook, I’ve also found that digital tools like Google Calendar add an extra layer of organization to my day. Here’s how these two methods work together to keep me on track and how I can help you do the same!: 📌 Big Picture Planning with Google Calendar I use Google Calendar for my “bird’s-eye view” of the week or month. It’s perfect for blocking out time, setting reminders, and coordinating schedules. With notifications, I never miss important tasks, activities, meetings, or deadlines. 📌Daily Focus with My To-Do List While Google Calendar keeps me organized on a broader level, my to-do list in my notebook is where I dive into the details. Each morning, I jot down specific tasks and prioritize them. Writing it out helps me feel more connected to my day and reminds me of my goals. Sometimes I wonder if this habit of sticking to pen and paper keeps me stuck in old days😊, but honestly, I love it. 📌Creating Accountability and Structure Together, these tools help me stay organized and ensure nothing slips through the cracks. And as an administrative assistant, I use these same techniques to help my clients get organized. By managing schedules in Google Calendar and keeping track of detailed tasks, I can help others maximize their time and stay focused on what’s important.
